We are seeking an exceptional Patient Experience & Sales Coordinator for our brand-new, fully renovated office on prestigious Commonwealth Avenue in Boston’s Back Bay.
This is a unique hybrid position combining:
- Front desk and patient-experience responsibilities
- New-patient inquiry and lead management
- Consultative sales and financial conversations
- Assistant and backup Patient Care Coordinator responsibilities
This is not a traditional receptionist position.
Your primary home base will be the front desk, where you will serve as the face of our Boston office and ensure that every patient receives an elevated, seamless experience. You will also assist our Patient Care Coordinator by responding to inquiries, qualifying prospective patients, presenting quotes and financing options, following up with leads, and helping patients take the next step toward booking surgery or aesthetic treatment.
The ideal candidate is polished, sophisticated, highly organized, and commercially minded. You genuinely enjoy caring for people, build rapport naturally, and can confidently discuss significant financial investments without sounding transactional or high-pressure.

What You’ll DoFront Desk and Patient Experience
- Serve as the welcoming face and first point of contact for our Boston office.
- Greet every patient with warmth, professionalism, and genuine hospitality.
- Create an elegant, calm, and welcoming atmosphere throughout the office.
- Answer incoming phone calls promptly and professionally.
- Monitor and respond to patient text messages and emails using approved communication platforms.
- Prioritize and care for patients who are physically present in the office while managing incoming communications.
- Guide patients through check-in, registration forms, check-out, scheduling, payments, and follow-up appointments.
- Prepare patient invoices, process charges, collect balances and deposits, and provide receipts.
- Maintain accurate patient demographic, scheduling, financial, and communication records.
- Coordinate patient flow with surgeons, providers, clinical staff, and administrative team members.
- Anticipate patient needs and provide thoughtful assistance throughout each visit.
- Maintain a polished, organized, and patient-ready reception area.
- Protect patient privacy and handle sensitive medical and financial information with discretion.
- Resolve routine patient questions and concerns calmly, promptly, and professionally.
- Help ensure that every patient leaves feeling genuinely cared for.
Patient Sales and Lead Management
- Respond to prospective-patient inquiries with urgency, warmth, and enthusiasm.
- Communicate consistently with prospective and existing patients by phone, text, email, and in person.
- Build genuine relationships and become a trusted resource for patients considering cosmetic surgery or aesthetic treatment.
- Pre-qualify prospective patients by learning about their goals, areas of interest, timeframe, and readiness to move forward.
- Schedule consultations and ensure prospective patients understand the next steps in the process.
- Maintain complete, timely notes and track every lead in the practice-management system or CRM.
- Conduct consistent follow-up so that qualified opportunities are not lost because of delayed or incomplete communication.
- Educate patients about PURE’s surgical procedures, medspa services, membership programs, and patient journey using practice-approved information.
- Communicate the value of the practice, providers, experience, and services clearly and confidently.
- Support patient reactivation, consultation follow-up, wait-list management, and other practice-growth initiatives.
Assistant Patient Care Coordination
- Assist the primary Patient Care Coordinator and provide backup coverage during busy periods, breaks, absences, and scheduled time off.
- Help prepare for consultations and ensure that patient information, photographs, quotes, and supporting materials are available.
- Meet with patients, when assigned, to review practice-approved information, procedure logistics, before-and-after photographs, and next steps.
- Present surgeon-approved treatment quotes and explain fees, deposits, payment schedules, and financial policies.
- Help patients understand and apply for financing through approved financing partners.
- Answer nonclinical questions and appropriately route medical questions to a surgeon, nurse, or qualified clinical team member.
- Address common concerns, reinforce the value of the recommended patient journey, and help patients feel comfortable moving forward.
- Confidently ask patients whether they are ready to reserve a procedure or surgery date.
- Collect deposits and complete required booking documentation.
- Assist with surgery scheduling and the coordination of preoperative, postoperative, facility, anesthesia, and operating-room requirements.
- Provide appropriate pre- and post-procedure touchpoints to maintain a high-touch patient experience.
- Cross-promote appropriate medspa services to surgical patients and surgical consultations to interested medspa patients.
- Ensure seamless handoffs between the front desk, Patient Care Coordinator, providers, and clinical team.

Minimum Qualifications
- Minimum of two years of customer-facing, patient-facing, or client-facing experience.
- Demonstrated stability and growth in previous employment.
- Excellent written and verbal communication skills.
- Experience discussing pricing, collecting payments, or supporting high-value purchasing decisions.
- Strong organizational and follow-up skills.
- Comfortable learning electronic medical record, scheduling, financing, and CRM systems.
- Proficiency with Microsoft Office and modern communication technology.
- High school diploma required; associate’s or bachelor’s degree preferred.
- Reliable transportation and the ability to work in person at our Boston office.
- Ability to provide occasional support at our Chelmsford location if needed.
Strongly Preferred
Experience in one or more of the following:
- Plastic surgery
- Medical aesthetics or medspa services
- Cosmetic dermatology
- Cosmetic dentistry
- Elective or cash-pay healthcare
- Luxury hospitality
- Concierge or private-club services
- High-end retail
- Membership sales
- Relationship-based or consultative sales
A proven history of meeting or exceeding sales, booking, collection, membership, or customer-retention goals is strongly preferred.

Compensation and Benefits
Compensation: $55,000 to $75,000 per year based on experience plus performance-based incentive opportunities.
