Overview:

Our team is made up of dedicated professionals with specialized training in evidence-based programs and approaches designed to help students become confident, successful learners. As a Client Experience Specialist, you’ll help create an exceptional experience for our families while supporting the day-to-day operations of our practice. You’ll be part of a warm, collaborative team that values genuine connection, ownership, and making families feel supported and cared for.

Key Responsibilities:

Client Engagement

Serve as the primary point of contact for prospective and current families via phone, email, website inquiries, and voicemail.
Guide new families through the onboarding process by sending intake paperwork and ensuring all required forms are completed.
Follow up with prospective families who have not responded within three business days.
Check in with new families after their first week to ensure a positive experience and answer any questions.
Provide warm, responsive, and professional customer service.

Talent Acquisition

Review applicants through referral platforms (Indeed, LinkedIn), screen resumes, and identify qualified candidates for the CEO to interview.
Help expand talent acquisition by identifying alternative platforms to recruit A-players for the practice.

Administrative Support

Provide general administrative support to help ensure the practice operates efficiently and effectively, including:

Responding to emails and phone calls
Organizing paperwork and maintaining client files
Updating records, databases, and practice management systems
Assisting with billing, invoicing, superbills, and payment-related tasks
Providing administrative support to providers
Assisting with general office organization, coordination, and follow-up

Systematizing ExperienceClient Intake & Referrals

Track referrals and conversion rates.
Oversee the client onboarding process from inquiry through enrollment.

Operations & Systems

Develop, document, and continuously improve internal workflows and systems to promote efficiency, consistency, and accountability.
Maintain accurate and up-to-date client records and ensure all required documentation is complete and properly organized.
Monitor associate and student anniversaries and coordinate reminders for appropriate rate reviews, increases, and celebrations.
Assist with creating and updating SOPs for associates and operators

Billing & Financial Operations

Oversee client invoicing and notify CEO of amount for associate payment processing.
Monitor outstanding balances and support collections.
Collect unpaid invoices and reactivate previous clients.
Identify areas where the company is leaking money.
Help create a budget for each department (social media, community outreach, materials, PD).

Performance & Business Analytics

Track and report key performance indicators (KPIs), including:
Referral-to-enrollment conversion rate
Client retention rate
Provider-student match success rate
Gross margin
Close rate
Revenue, profitability, and return on investment (ROI)
Collect and analyze business data to identify trends and opportunities for growth.

Administrative Oversight

Ensure operational processes run smoothly across all departments.
Monitor client anniversaries and coordinate periodic account reviews with the CEO.
Recommend improvements that enhance efficiency, client satisfaction, and profitability.

Company Expansion

Assist with programming for summer sessions focusing on reading skills levels, executive functioning, and project expansions.

Qualifications:

Proven experience in client relations, operations management, or a similar role.
Strong organizational and multitasking skills.
Excellent communication and interpersonal skills.
Ability to analyze data and generate actionable insights.
Experience with budget management and financial operations.
