Looking for an Experienced Office Assistant, Bookkeeper –

***Please note this is not a remote position!

Location: Lakewood NJ

Position Overview:

We are seeking a reliable and highly organized Office Assistant to handle a variety of office support tasks. This position plays a critical role in ensuring smooth and efficient office operations, contributing to a productive work environment. The ideal candidate will possess excellent communication skills, a positive attitude, and the ability to manage multiple tasks with precision. Experience in Commercial Real Estate, lead generation, scheduling, and letter campaigns is highly desirable. A basic understanding of bookkeeping to assist with accounts payable/receivable, bank reconciliation, and financial reporting is also required. This is an exciting opportunity to work in a collaborative environment where your expertise will make a significant impact.

Responsibilities:

Greet clients, visitors, and tenants in a professional, friendly manner.
Answer and direct phone calls, take messages, and assist with general inquiries.
Handle scheduling and calendar management for meetings, appointments, and property viewings.
Perform general office duties such as photocopying, filing, faxing, and scanning documents.
Maintain confidentiality of sensitive information, including financial records and tenant data.
Conduct market research and compile data for commercial and residential real estate properties
Prepare and mail out letter campaigns and post cards.
Help with office management and mail distribution.
Assist with accounts payable and receivable.
Reconcile bank and credit card statements to ensure accuracy.
Process payroll and maintain employee records.
Prepare monthly, quarterly, and annual financial reports.
Ensure compliance with financial regulations and company policies.
Collaborate with team members to streamline financial processes and improve efficiency.

Qualifications:

Previous experience in an office assistant role, preferably in a bookkeeping and/or real estate environment.
Proficiency in QuickBooks software (both Desktop and Online).
Strong knowledge of Microsoft Excel and Word.
Excellent attention to detail and accuracy.
Strong organizational and time management skills.
Ability to multitask and prioritize competing demands to ensure timely task completion.
Ability to work independently as well as part of a team.
Excellent communication and interpersonal skills.
