We are seeking a dynamic and highly organized Clerical Assistant to join our team! Responsibilities

Manage multi-line phone systems, directing calls with professionalism and courtesy using excellent phone etiquette
Perform data entry tasks accurately within various software platforms, including spreadsheets and productivity tools
Handle front desk duties such as greeting visitors, managing appointments, and maintaining a tidy reception area
Utilize Microsoft Office Suite and Google Workspace to prepare documents, reports, and correspondence with precision
Maintain organized filing systems—both digital and paper—to ensure quick retrieval of information
Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing and record keeping
Assist with calendar management and scheduling for team members or executives, ensuring timely appointments and meetings

Requirements

Proven clerical experience or office management background demonstrating strong organizational skills
Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and general computer literacy
Experience with data entry, proofreading, and document formatting to ensure accuracy and clarity
Excellent customer service skills with the ability to communicate effectively via phone and in person
Bilingual abilities are highly desirable to serve diverse client needs effectively
Knowledge of multi-line phone systems, front desk operations, and office equipment is preferred
Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
Previous experience in medical or dental receptionist roles or personal assistant positions is a plus
