Full Job Description

Job Title: Program Coordinator

Position Summary

The Program Coordinator oversees the coordination and administration of all aspects of an ongoing program, including planning, organizing, staffing, leading, and controlling program activities. This role ensures the program aligns with the mission, goals, and strategic direction of the organization.

Responsibilities

Plan the Program

Plan and deliver the overall program and its activities in alignment with the organization’s mission and goals.
Develop new initiatives to support the organization’s strategic direction.
Establish and implement long-term goals and objectives to ensure successful program outcomes.
Develop and manage the annual budget and operating plan for the program.
Create a program evaluation framework to assess strengths and identify areas for improvement.
Develop funding proposals to ensure the continuous delivery of program services.

Organize the Program

Ensure all program activities operate in accordance with organizational policies and procedures.
Ensure compliance with all relevant legislation and professional standards.
Develop and maintain forms and records to document program activities.
Oversee the collection and maintenance of participant records for statistical purposes, in accordance with confidentiality and privacy policies.

Staff the Program

In consultation with the Youth Services Program Director, recruit, interview, and select qualified program staff.
Implement organizational human resources policies, procedures, and practices.
Ensure personnel files are properly maintained and kept confidential.
Establish and manage a performance evaluation process for all program staff.
Recruit and manage volunteers for appropriate program activities using established volunteer management practices.

Lead the Program

Ensure all staff receive appropriate orientation to the organization and its programs.
Ensure staff receive ongoing training in accordance with organizational standards.
Supervise program staff by providing direction, guidance, and performance feedback.
Liaise with other managers to ensure efficient and effective program delivery.
Coordinate service delivery across activities to improve effectiveness and efficiency.

Control the Program

Prepare program reports for management and funders.
Communicate with funders in accordance with funding agreements.
Monitor cash flow projections and report actual cash flow and variances to the Youth Services Program Director on a regular basis (monthly/bimonthly).
Manage all program funds according to established accounting policies and procedures.
Prepare and submit required documentation to funders in accordance with funding agreements and timelines.
Provide necessary information to support invoice generation and submission to funders.
Identify, assess, and manage risks associated with program activities.
Monitor program activities regularly and conduct annual evaluations using the established evaluation framework.
Report evaluation findings and recommend program enhancements to the Youth Services Program Director.

Qualifications

Bachelor’s Degree required; Master’s Degree preferred.
Knowledge of program management and the service area; minimum of 3 years of experience with the SYEP program preferred.
Proficiency in computer applications, including word processing, databases, spreadsheets, email, and internet use.
Demonstrated ethical behavior aligned with organizational values and professional standards.
Strong relationship-building skills with internal and external stakeholders.
Excellent written, verbal, and listening communication skills.
Demonstrated creativity and innovation in improving organizational operations.
Ability to foster teamwork and collaborate effectively to achieve organizational goals.

Compensation

Salary Range: $60,000 – $65,000 annually

Job Type: Full-time

Pay: $60,000.00 - $65,000.00 per year
