Full Job Description

About the Role

We are a growing small business seeking a self starter, motivated, and detail oriented Bookkeeper & Administrative Assistant to support our day-to-day operations and expansion. This role is ideal for someone who takes initiative, works well independently, and is comfortable managing tasks with minimal supervision. You’ll play an important role in keeping our invoicing, collections, and payment processes running smoothly using QuickBooks Online, as well as have a direct line to the Company President and CFO to support development projects and process improvement.

Key Responsibilities

Bookkeeping/Accounting:

Create, issue, and track customer invoices
Manage collections by monitoring outstanding balances and following up with customers
Enter vendor bills and maintain accurate records in QuickBooks Online
Process customer payments (ACH, credit card, and checks) and apply them correctly
Support sales activities with billing and administrative assistance as needed
Maintain organized digital financial records
Assist with monthend close and basic financial reporting
Communicate proactively with management regarding issues, discrepancies, or process improvement
Actively seek out process improvement and identifying efficiencies

Administrative Support:

Take an active role in organizing status of various real estate development projects
Create and maintain detailed records and schedules to streamline project management and advancement
Execute general administrative duties to support real estate development, including but not limited to drafting various applications, liaising with both internal and external personnel, managing deadlines, etc.

Qualifications & Skills

Prior bookkeeping or accounting support experience
Strong hands-on experience with QuickBooks Online (required)
Selfstarter mentality with the motivation to manage tasks independently
Strong attention to detail and accuracy
Comfortable communicating with customers regarding invoices and payments
Solid understanding of invoicing, collections, and bill entry
Ability to prioritize tasks and meet deadlines in a small business environment
Proficiency in Excel and Google Sheets

Pay: $20.00 - $30.00 per hour
