Job Overview

We are seeking a dynamic and highly organized Office Manager/Bookkeeper to join our team! This vital role combines efficient office management with accurate financial record-keeping, ensuring smooth daily operations and financial integrity. As the backbone of our administrative functions, you will coordinate office activities, handle bookkeeping responsibilities, and provide exceptional support to staff and clients alike. Your proactive approach and technical proficiency will help foster a productive, welcoming environment where everyone can thrive.

Duties

Oversee daily office operations, including managing multi-line phone systems, scheduling, and administrative support
Maintain accurate financial records using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations
Manage calendar scheduling, appointments, and meeting arrangements for staff and clients
Perform data entry tasks with precision, ensuring all records are up-to-date and organized in spreadsheets or other productivity software
Handle client communication via phone and email with professionalism and courtesy, providing excellent customer service and support
Maintain filing systems—both digital and physical—ensuring easy retrieval of documents and adherence to confidentiality standards
Assist with proofreading documents, preparing Word processing files, and managing office supplies to ensure operational efficiency

Qualifications

Proven experience in office management or administrative roles with strong organizational skills
Proficiency in QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook)
Excellent computer literacy with the ability to navigate spreadsheets, data entry platforms, and productivity tools efficiently
Strong communication skills—bilingual abilities are a plus—to facilitate effective client interactions and internal coordination
Demonstrated experience in clerical tasks such as filing, proofreading, calendar management, and phone etiquette
Ability to prioritize tasks effectively while managing multiple responsibilities in a fast-paced environment
Previous experience with personal assistant duties or front desk responsibilities is highly desirable
