Overview
Join our engaging community as the Church Secretary, where your organizational skills and warm personality will be the heartbeat of our administrative operations. In this vital role, you will serve with your efficient, engaging, and artistic communication using Publisher, Power Point, Word and Excel applications. You will require skills for accurate record-keeping, multitasking, weekly projects, telephone, email and in person communications . Your proactive approach and attention to detail will help foster a welcoming environment for congregation members, visitors, staff, and volunteers alike. This paid position offers an exciting opportunity to contribute meaningfully to our spiritual community while honing your secretarial and artistic project expertise.

Responsibilities

Manage the church office and telephone with professionalism, greeting visitors and congregation members warmly while taking detailed messages and providing exceptional customer support.
Operate multi-line phone systems with courteous phone etiquette, directing calls efficiently and taking detailed messages when needed.
Maintain accurate records while also creating weekly projects in power point; word and publisher .
Handle data entry tasks with precision, including updating church databases, member records, and event schedules.
Organize and file documents systematically—both digitally and physically—to ensure easy retrieval and compliance.
Assist with calendar management for church events, meetings, and appointments using Microsoft Office tools and other scheduling software.
Support office management duties such as proofreading communications, managing correspondence, and coordinating/ordering supplies to keep the office running smoothly.
Perform clerical tasks including creating reports, preparing bulletins, newsletters, and proofreading all church communications for clarity and accuracy. Required skills in Publisher, Powerpoint, Word, Excel.

Experience

Proven office experience in a clerical or administrative role within a diverse task environment is required.
Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Power Point, Outlook), Google Workspace (Gmail, Calendar), and data entry tools.
Strong organizational skills with the ability to multitask efficiently in a church setting.
Excellent communication skills—both verbal and written—and a professional phone manner.
Previous experience in church secretary setting and customer service is required.
Ability to manage time effectively while prioritizing multiple responsibilities in a dynamic environment. Your dedication will help nurture our community’s growth and ensure our operations run smoothly!

Duties

Greet visitors warmly and professionally, providing exceptional customer service at all times
Manage front desk operations, including handling incoming and outgoing mail, couriers, and deliveries
Maintain organized office records, files, and documentation with attention to detail and accuracy
Support calendar management by scheduling appointments, meetings, and church events
Clerical tasks such as typing correspondence, proofreading documents, and data entry using Microsoft Office Suite applications such as Power Point, Word and Excel
Provide administrative support including organizing office supplies, managing office management tasks, and supporting personal assistant functions when needed

Qualifications

Proven office experience with strong organizational skills and attention to detail
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel) and general computer skills
Prior experience in clerical or administrative roles, especially in church office setting and customer service positions
Strong phone answering skills with knowledge of multi-line phone systems and phone etiquette
Exceptional organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Demonstrated professionalism in client communication and customer support roles
