Help Shape One of the Lake Minnetonka Area's Most Vibrant Business Communities!

The Excelsior-Lake Minnetonka Chamber of Commerce is seeking an organized, proactive, and customer-focused Administrative & Operations Coordinator to support the daily operations of our growing organization.

This is an ideal opportunity for someone who enjoys variety, thrives in a collaborative environment, and takes pride in keeping an organization running smoothly. Working closely with the President & CEO, you'll play an integral role in supporting Chamber members, community events, office operations, and the overall success of one of the region's most active business organizations.

We're looking for someone who is dependable, detail-oriented, and enjoys building relationships while making a meaningful impact in the local business community.

Position Details:

Position: Administrative & Operations Coordinator
Status: Part-Time (approximately 15–25 hours per week)
Compensation: $20–$24 per hour, depending on qualifications and experience
Location: Excelsior-Lake Minnetonka Chamber Office (Mound, MN)
Work Arrangement: Hybrid flexibility available after an initial training period

Schedule & Flexibility:

This position offers a flexible schedule that varies throughout the year based on Chamber programs, events, and organizational needs.

During our busiest season (primarily spring through fall), hours will typically range from 20–25 hours per week.
During slower winter months, hours may average 15–20 hours per week.
Occasional evening and weekend hours are required to support Chamber events throughout the year.
Regular weekday office coverage is important, though scheduling offers flexibility.

What You'll Do:

As the Administrative & Operations Coordinator, you'll help keep the Chamber running efficiently while supporting members, staff, volunteers, and community partners.
Responsibilities include:

Serve as the first point of contact for members, visitors, and phone inquiries.
Answer phones, monitor emails, and provide exceptional customer service.
Manage calendars, appointments, and scheduling.
Process invoices, bills, and other routine financial transactions.
Maintain organized electronic and physical filing systems.
Maintain accurate member records and database information.
Assist with membership applications and renewals.
Prepare meeting materials, agendas, and organizational documents.
Support Chamber events through registration, logistics, volunteer coordination, and administrative preparation.
Order office supplies and maintain office organization.
Assist with special projects and day-to-day operational needs.
Provide administrative support to the President & CEO.
Perform other duties that support the success of the Chamber and its members.

Preferred Qualifications:

Administrative or office management experience
Customer service experience
Experience with bookkeeping, invoicing, or accounts payable
Strong proficiency with Google Workspace and Slack
Ability to quickly learn new software systems
Experience with CRM or membership software (GrowthZone experience is a plus)
Experience working with nonprofit organizations, membership organizations, or event planning is beneficial but not required
