Full Job Description

POSITION TITLE: Customer Service Representative (Part-Time)
DEPARTMENT: Parks & Recreation
EXEMPT STATUS: FLSA Non-Exempt position; eligible for overtime compensation
SALARY RANGE: $21.18 - $26.80 per hour DOE

Under the direction of the assigned supervisor, this is a year-round part-time position providing customer service, facility operations and event support, general administrative support, recreation registration and facility reservation support to the City of Maple Valley Parks and Recreation Department. The work hours for this position may vary and involve weekdays, evenings, weekends, holiday hours and split shifts. The schedule for this position may be up to 20 hours per week, however no more than 70 hours per month. This position is FLSA non-exempt and is eligible for overtime compensation. This position is located at the Lake Wilderness Lodge; however, work assignments and locations may vary within the Parks and Recreation Department.

This position is the “front line” of the Parks and Recreation Department and represents the direct voice and image of the Lake Wilderness Lodge and Parks and Recreation Department to the public. This position is welcoming, positive, responsive, and has the ability to easily and clearly communicate with members of the public and staff.

Facility Operations and Event Support:

Open and close the Lake Wilderness Lodge facilities
Responsible for check in of facility rentals, confirm permit details, review rental guidelines and expectations, ensure all tables and chairs are accessible, and serve as the point of contact during the rental period
Prepare facilities for use, including but not limited to, setting up and taking down tables, chairs, A/V, and other equipment for rentals and activities; reset facilities between uses
Monitor events and activities and enforce facility rules, policies, guidelines, and safety standards and reports disruptive behavior to appropriate staff members
Perform custodial duties including vacuuming, sweeping, mopping, cleaning restroom facilities, window, kitchen and spot cleaning of carpet and minor building maintenance tasks
Conduct quality control walkthroughs of the facility to ensure a safe, fun and enjoyable experience for all, coordinate with Department and Police staff as needed to address operations, repair and security issues
Assist with City sponsored events

Customer Service:

Deliver a high-quality guest service experience in-person, on the phone and through email
Answer and route incoming phone calls, refer calls or visitors to the appropriate personnel
Greet and direct visitors, conduct facility tours, answer public inquiries, and provide information regarding facility rentals, recreation programs, special events, schedules, fees and services
Receive and resolve or direct customer complaints and issues to the appropriate supervisor

General Administrative Support:

Maintain supply of information (i.e., flyers, brochures, forms, etc.), create and copy flyers, create directional and event rental signs for the Lodge
Proofread promotional materials and documents
Keep office areas organized and tidy and file as needed
Provide administrative support for assigned projects, and perform related duties as assigned

Recreation Registration and Facility Reservations:

Operates the recreation management software, including processing registrations, reserving facilities (park shelters & sites, weddings, and rooms at the Lodge), completes monetary transactions including cash/check handling, credit card processing, and till reconciliation
Uses recreation management software to review customer transactions and run reports for staff

Be dependable and trustworthy
Multi-task, prioritize, and manage time effectively
Be self-motivated and work with little or no supervision
Gain knowledge of recreation programs, parks, facilities, and amenities offered by the Department
Work non-standard schedule to include evenings, weekends, split shifts, overtime, special events and/or holidays as deemed necessary by supervisors
Maintain regular, reliable, and punctual attendance

Education and Experience:

Must be at least 18 years of age
High school diploma or equivalent required
One year experience in customer service, sales, reception or facility operations
Computer and cash handling experience preferred
Valid CPR and First Aid Certification (or the ability to obtain within three months of employment)
Must be able to pass a criminal background check
Must be insurable by the City’s insurance carrier

Working Conditions and Physical Requirements:

This position works indoors, with some outdoor work as required
Ability to walk, sit or stand for periods up to eight hours per day
Work involves walking, talking, listening, and may require the employee to stoop, squat, twist and bend
Employee must be able to push, pull, lift and/or carry up to 50 pounds, with the ability to set-up various equipment as needed
Employee must be able to use cleaning supplies and equipment as required
The noise level in this work environment varies from moderately quiet to moderately loud, however may be loud at times
