Accounting Assistant Job Description

Job Title: Accounting Assistant

Reports To: Staff Accountant, Accounting Manager, or Controller

Position Summary

The Accounting Assistant provides administrative and clerical support to the accounting department by assisting with accounts payable, accounts receivable, data entry, reconciliations, recordkeeping, and financial reporting. This position helps ensure the accuracy and timeliness of financial transactions while supporting daily accounting operations.

Essential Duties and Responsibilities

Process accounts payable invoices and prepare payments.
Assist with accounts receivable, including invoicing, payment processing, and collections.
Enter financial transactions into the accounting system accurately and timely.
Reconcile bank accounts, credit card statements, and petty cash.
Maintain organized accounting files, records, and supporting documentation.
Assist with month-end and year-end closing activities.
Prepare journal entries and account reconciliations as assigned.
Process employee expense reports and reimbursements.
Assist with payroll processing and maintain payroll records.
Prepare deposits and record cash receipts.
Respond to vendor and customer inquiries regarding invoices and payments.
Generate routine financial reports and spreadsheets.
Maintain vendor and customer account information.
Support internal and external audits by gathering requested documentation.
Assist with inventory accounting and fixed asset recordkeeping, as needed.
Perform general office and administrative duties to support the accounting department.
Perform other duties as assigned.

Qualifications

Education

High school diploma or GED required.
Associate degree in Accounting, Business Administration, or related field preferred.

Experience

1–3 years of accounting, bookkeeping, or administrative experience preferred.
Experience with accounts payable and accounts receivable is desirable.
Experience with accounting software preferred.

Knowledge, Skills, and Abilities

Basic knowledge of accounting principles and bookkeeping practices.
Proficiency in Microsoft Office, especially Excel and Outlook.
Experience with accounting software such as QuickBooks, Sage, Microsoft Dynamics, or other ERP systems.
Strong data entry skills with a high degree of accuracy.
Excellent organizational and time management skills.
Strong attention to detail.
Effective written and verbal communication skills.
Ability to handle confidential financial information.
Ability to prioritize multiple tasks and meet deadlines.
Strong customer service and interpersonal skills.
Ability to work independently and collaboratively within a team.

Preferred Qualifications

Associate degree or coursework in accounting.
Experience in payroll processing.
Knowledge of basic tax documentation and financial reporting.

Working Conditions

Full-time position in an office environment.
Standard business hours, Monday through Friday, with occasional overtime during month-end, year-end, or audit periods.
Frequent use of computers, accounting software, and office equipment.

Physical Requirements

Prolonged periods of sitting and computer work.
Ability to occasionally lift up to 15 pounds.
Ability to perform repetitive keyboard and data entry tasks.

Performance Measures

Accuracy of data entry and financial records.
Timely processing of accounts payable and accounts receivable transactions.
Completion of assigned reconciliations and reports by established deadlines.
Compliance with company policies and accounting procedures.
Effective communication with vendors, customers, and internal departments.
Maintenance of organized and accurate financial records.

Pay: $17.00 - $21.00 per hour
