Full Job Description

Job Summary

TLC Aviation is seeking a highly organized Office Manager/Executive Assistant to support day-to-day operations at our Fort Lauderdale Executive Airport (FXE) office. This role is the operational backbone of the office — managing administrative functions, supporting station leadership, greeting visitors, and keeping the front office running smoothly. The ideal candidate is organized, proactive, and comfortable learning the pace and terminology of an aviation environment. This is a hands-on, in-person role based full-time at FXE.

Key Responsibilities

Provide direct administrative support to station leadership, including calendar management, correspondence, and meeting coordination
Manage front office operations: greeting visitors, crew, and vendors; answering and directing multi-line phone calls with professionalism and courteous phone etiquette
Provide front desk support, including directing inquiries and providing general information to visitors and callers
Maintain organized filing systems (physical and digital) for office records, including personnel files, maintenance documentation, and vendor/contract files, with attention to confidentiality
Support office management functions: supply and equipment inventory, facilities coordination, and vendor relationship management
Assist with recruiting and hiring logistics for the office, including posting roles, screening resumes, scheduling interviews, maintaining candidate trackers, and coordinating onboarding for new hires
Support HR administrative tasks such as timekeeping, employee files, and coordination with corporate HR/leadership
Manage accounts receivable functions, including invoicing customers, tracking outstanding balances, and following up on overdue payments
Process accounts payable, including invoice processing, expense tracking, and purchase order coordination using QuickBooks or similar software
Support compliance-related administrative tasks, such as maintaining records related to certifications, training documentation, or audit preparation, in coordination with QA/maintenance leadership
Assist with internal communications and coordination between the FXE office and other TLC Aviation entities/offices (e.g., TOL)
Help organize office events, team meetings, and any culture/engagement initiatives
Take on additional administrative and project-based tasks as priorities arise

Experience

Willingness to learn and grow
Strong organizational skills with the ability to manage multiple priorities in a fast-paced, operational environment
Excellent written and verbal communication skills; comfortable interfacing with staff, leadership, and customers
High level of discretion and professionalism when handling confidential business, personnel, or financial information

Preferred

Prior experience in an aviation-related office setting (e.g., charter operator, MRO/maintenance facility, FBO, flight school, or corporate aviation office)
Familiarity with aviation terminology or structure (e.g., FAA, Part 135/145, A&P/IA credentials)
Experience supporting hiring/recruiting or HR administrative functions (onboarding, employee files, timekeeping)

Pay: $55,000.00 - $70,000.00 per year
