Full Job Description

Workshop & Appointment Coordinator

We are looking for a friendly, professional, and highly organized Workshop & Appointment Coordinator to support our educational workshops and help turn attendee interest into scheduled appointments.

This is a people-facing role for someone who enjoys meeting new people, makes a great first impression, and is comfortable taking initiative. The right person will be responsible for welcoming guests at workshops, assisting attendees, scheduling appointments on-site, and providing consistent follow-up after each event.

What You'll Do - Workshop Support

Attend scheduled workshops in person and serve as a welcoming point of contact for attendees.
Greet guests, assist with check-in, and help create a professional and positive experience.
Assist with workshop materials and other on-site needs.
Engage with attendees before and after the presentation.
Help identify attendees who are interested in taking the next step.

Appointment Scheduling

Speak with attendees following the workshop and help interested individuals schedule an appointment.
Confidently and professionally ask for the appointment rather than simply waiting for attendees to approach you.
Manage appointment scheduling using our calendar/scheduling system.
Clearly communicate next steps and help ensure attendees know what to expect following the workshop.

Follow-Up

Conduct timely follow-up with workshop attendees and prospective clients by phone, text, and/or email.
Follow up with individuals who expressed interest but did not schedule an appointment at the workshop.
Maintain consistent communication with prospective clients according to our follow-up process.
Confirm appointments and help reduce cancellations and no-shows.
Keep accurate records of conversations, follow-up attempts, appointments, and next steps.
Ensure leads don't fall through the cracks by staying organized and following through.

Who We're Looking For

The ideal candidate is someone who is:

Friendly, outgoing, and comfortable starting conversations with new people.
Professional and polished when interacting with prospective clients.
Confident asking someone to schedule an appointment.
Comfortable making follow-up phone calls and communicating by text and email.
Persistent without being pushy.
Highly organized and dependable.
Detail-oriented and good at keeping track of multiple people and follow-up tasks.
Comfortable learning and using scheduling and client-management software.
Able to work independently and take ownership of responsibilities.
Reliable and punctual for all scheduled workshops.

Experience in appointment setting, client service, sales, event support, hospitality, or professional services is helpful, but we are willing to train the right person.

In addition too an hourly wage, a 10% bonus will be paid on any placed business.

Pay: $30.00 per hour

Work Location: In person
