Full Job Description

Position Summary

The Staff Accountant plays a key role in the day-to-day financial operations of the firm, with primary responsibility for accounts payable, client billing, matter intake, and other administrative tasks. This position is ideal for a detail-oriented professional who is comfortable wearing multiple hats in a midsize law firm environment and working closely with attorneys and administrative staff to ensure financial accuracy, compliance, and efficient operations.

Key Responsibilities

Accounts Payable

Process vendor invoices, firm expenses, and employee reimbursements
Ensure proper approvals, coding, and timely payment of bills
Prepare and process checks, ACH, credit card and other electronic payments
Maintain vendor files and respond to vendor inquiries
Reconcile accounts payable and related general ledger accounts
Process 1099 filings at year-end.

Billing & Accounts Receivable

Prepare and process client invoices in accordance with engagement terms and firm billing practices
Work directly with attorneys to finalize billing and resolve billing questions
Track accounts receivable and assist with follow-up on outstanding invoices
Post client payments and apply funds accurately
Support billing adjustments, write-offs, and trust-to-operating transfers

Matter Intake & Client Setup

Setup new clients and matters in accounting and practice management systems
Review engagement letters, fee agreements, and trust requirements prior to matter activation
Ensure accurate billing rates, fee structures, and trust settings
Maintain and update client and matter records
Coordinate with attorneys to ensure compliance with firm intake and ethical standards

General Accounting & Firm Support

Assist with credit card reconciliations
Support month-end and year-end closing activities
Maintain organized financial and trust documentation
Assist with audits, tax preparation, and reporting
Identify opportunities to improve accounting and billing processes
Provide administrative and accounting support as needed in a midsize firm setting

Qualifications

Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred
2+ years of accounting experience; law firm experience strongly preferred
Demonstrated experience with trust accounting (IOLTA) preferred
Knowledge of law firm accounting and ethical compliance requirements
Experience with legal accounting or practice management software (e.g., Clio, Centerbase, ProLaw, Aderant, Elite, or similar)
Proficiency in Microsoft Excel and accounting software
Strong attention to detail and ability to manage multiple priorities
Excellent communication skills and a high degree of discretion and confidentiality
Self-starter comfortable working independently in a small firm environment

Work Environment & Requirements

Primarily office-based with extended computer use
Some flexibility required during billing cycles and month-end close

Pay: $50,000.00 - $65,000.00 per year
