Administrative Assistant

Melville, NY | Part-Time | 25–30 Hours Per Week | Monday–Friday | In Office

Must live within approximately 10 miles of Melville, NY (11747)

We are an established brokerage firm located in Farmingdale, New York, and we're looking for a reliable, organized, and professional Administrative Assistant to become an important part of our team.

This is not an entry-level position. We are seeking an experienced Administrative Assistant who enjoys keeping things organized, communicating with clients, supporting a busy office, and helping a growing company run smoothly.

If you're the type of person who likes structure, takes pride in your work, follows through on tasks, and enjoys learning new technology, this could be a great fit.

We're looking for someone who wants a stable, long-term Administrative Assistant position with a company that values loyalty, professionalism, and dependability.

What You'll Be DoingAdministrative Assistant Responsibilities

Answering phones and managing email correspondence
Preparing documents, agreements, and transaction paperwork
Managing DocuSign and electronic document workflows
Supporting brokers and management with day-to-day administrative tasks

Client & Broker Support

Following up with buyers and clients
Maintaining CRM records and databases
Managing online listings and marketing platforms
Coordinating office communications and administrative support

Marketing & Content Support- If not we can tailor the position to JUST Admin

Posting content to social media platforms
Creating and editing short-form videos
Assisting with company marketing campaigns
Helping create broker training and educational content
Utilizing AI tools to improve efficiency and productivity

We're looking for an Administrative Assistant who has:

At least 2 years of Administrative Assistant, Executive Assistant, Office Manager, or similar office experience
Strong organizational and communication skills
Excellent attention to detail
Professional phone and email etiquette
The ability to work independently
A willingness to learn new software and technology

Technology Experience Preferred

Google Workspace (Drive, Docs, Sheets, Gmail)
DocuSign
CapCut
Canva
ChatGPT
Gemini
Claude

Experience with Facebook, Instagram, LinkedIn, TikTok, and YouTube is highly preferred.

Schedule

Monday through Friday
Part-time position
Approximately 25–30 hours per week
In-person position
Initial training conducted in the office

Compensation

Starting pay: $27 per hour with Social Media / AI exp
Prior experience required
Additional compensation, bonuses, and benefits discussed during the interview process
