Full Job Description

Job Summary:

The Dispatch Coordinator plays a vital role in setting up new work orders for security jobs and maintaining effective communication with vendors, managers, and clients. They negotiate pricing within the scope of each job. Ensuring organized email communication and timely responses is a priority. They handle IVR (Interactive Voice Recognition) check-in and check-out processes, update double systems and ETA information when required, and maintain a professional approach when answering phones and group lines. Completing quarterly and annual self-evaluations is also part of their responsibilities. This role is essential for seamless coordination and effective communication within the security team.

Duties/Responsibilities:

Effectively communicates with vendors, managers, and clients to ensure seamless coordination.
Maintains organized email communication for efficient correspondence within 24 hours.
Covers weekend shifts when necessary to ensure continuous operations.
Skillfully negotiates pricing with vendors to optimize cost-efficiency.
Actively sources and evaluates new vendors as appropriate.
Stays up to date on IVR (Interactive Voice Recognition) check-ins and check-outs.
Updates double systems (Facilities Exchange and client software), and job ETA information as necessary to enhance workflow.
Professionally answers incoming phone calls and answers the group call lines.
Completes quarterly and annual self-evaluations to drive personal and professional growth.
Assists co-workers in resolving incomplete paperwork by providing necessary information and support.

Required Skills/Abilities:

Strong organizational skills for email and paperwork management.
Proficiency in using computer systems and software for updates.
Team-player mentality to assist co-workers with incomplete paperwork.

Education and Experience:

1-2 years of relevant experience in coordination, logistics, or a similar role.
Prior experience in a customer service or call center environment preferred.
High school diploma or GED equivalent required.

Physical Demands:

Continual periods of sitting at a desk and computer.
Frequent reaching for files and documents, bending to file papers and twisting to answer phone calls.
Extensive use of hands and fingers for typing, writing, and using a computer mouse.
Occasionally lifting and carrying moderate weight (up to 25 pounds) of files, binders, and office equipment.
Extensive use of close vision, distance vision, and the ability to adjust focus.

Work Environment:

Primarily working in an office environment with standard lighting and temperature control.
Some background noise from colleagues, phones, and printers, but generally quiet working conditions.
Prolonged use of a computer and other electronic devices.
