Front Desk Receptionist /BookkeeperJob Summary

We are seeking an energetic, detail-oriented, and dependable Front Desk Receptionist/Bookkeeper to be the welcoming face of our organization while supporting daily administrative and financial operations.

This vital role involves managing front desk responsibilities, providing exceptional customer service, assisting with office organization, and performing routine bookkeeping tasks using QuickBooks. The ideal candidate will be proactive, highly organized, comfortable working with numbers, and able to manage multiple priorities in a fast-paced environment.

This position offers an exciting opportunity for an experienced administrative professional to contribute to a dynamic and supportive workplace while continuing to develop their office management and bookkeeping expertise.

Duties and Responsibilities

Greet visitors and clients warmly, creating a professional and friendly first impression
Answer multi-line phone systems promptly and courteously while practicing excellent phone etiquette
Manage incoming and outgoing correspondence, including emails, mail, packages, and documents
Maintain accurate and organized filing systems, electronic records, and data-entry logs
Manage office supplies and assist with inventory tracking and ordering
Assist with calendar management, appointment scheduling, meeting coordination, and reminders
Prepare, proofread, format, and organize business documents using Microsoft Office and Google Workspace
Enter and maintain financial transactions accurately in QuickBooks
Assist with accounts payable and accounts receivable
Prepare customer invoices, record payments, and monitor outstanding balances
Enter bills, expenses, deposits, and vendor information into QuickBooks
Assist with bank and credit-card reconciliations
Maintain organized financial records, receipts, invoices, and supporting documentation
Assist with basic financial reports and bookkeeping-related administrative tasks
Communicate with customers and vendors regarding invoices, payments, and account questions
Support office management activities, including filing, photocopying, scanning, and organizing documents
Provide customer support by addressing inquiries efficiently, professionally, and courteously
Perform general clerical and administrative duties to ensure smooth daily office operations
Maintain confidentiality when handling financial, employee, customer, and company information

Requirements

Previous experience in bookkeeping, office administration, office management, or a similar administrative role
Hands-on experience using QuickBooks or QuickBooks Online
Basic knowledge of bookkeeping principles, including accounts payable, accounts receivable, invoicing, expense entry, and account reconciliation
Strong computer literacy with proficiency in Microsoft Office, including Word and Excel
Experience using Google Workspace, including Gmail, Calendar, Drive, and Google Docs
Strong data-entry, typing, proofreading, and recordkeeping skills
Excellent organizational skills with the ability to multitask and meet deadlines
Exceptional customer-service skills with a friendly demeanor and professional phone etiquette
Experience operating multi-line phone systems and managing front desk responsibilities
Strong attention to detail and accuracy, particularly when handling financial information
Ability to manage time effectively while supporting multiple priorities
Clear and professional verbal and written communication skills
Ability to work independently while also contributing as part of a team
High level of professionalism, dependability, discretion, and confidentiality
Bilingual abilities are highly desirable
Personal-assistant or calendar-management experience is advantageous

Preferred Qualifications

Two or more years of administrative, bookkeeping, or office-support experience
Experience with QuickBooks Online
Experience preparing invoices, recording payments, reconciling accounts, and maintaining financial records
Intermediate Microsoft Excel skills
Previous experience working in a customer-facing office environment
