Full Job Description

The Chautauqua County Department of Public Health is seeking a highly organized, detail-oriented, and collaborative Administrative Assistant (Early Intervention) to support the County's Early Intervention (EI), Preschool Special Education (PS), and Children and Youth with Special Health Care Needs (CYSHCN) programs.

This leadership-focused administrative position plays a critical role in ensuring children and families receive timely, high-quality services by overseeing daily office operations, supporting program compliance, coordinating with state and local agencies, and assisting with the administration of programs that positively impact the health and development of children throughout Chautauqua County.

As the Administrative Assistant (Early Intervention), you will:

Oversee the day-to-day administrative operations of the Early Intervention, Preschool, and Children and Youth with Special Health Care Needs (EI/PS/CYSHCN) Office.
Assist the Division Supervisor in developing, implementing, and monitoring departmental policies and procedures to ensure compliance with New York State regulations.
Monitor program workflow, staff utilization, referrals, and case management activities using department databases.
Organize and maintain program records, training documentation, and internal tracking systems.
Coordinate administrative onboarding and training for new employees.
Serve as a liaison with the New York State Department of Health, County Finance Department, and other partner agencies regarding program administration and fiscal matters.
Assist with budget preparation, grant administration, expense tracking, and financial recordkeeping.
Review and process accounts payable, purchase orders, payroll time and attendance, and expenditure tracking.
Assist in preparing contracts and service agreements for therapists, teachers, transportation providers, and other service vendors.
Respond to referrals, information requests, transportation coordination, and communications with the Early Intervention Hub Help Desk.
Monitor database security procedures and ensure compliance with applicable policies.
Schedule meetings, prepare agendas and minutes, coordinate travel arrangements, and provide administrative support to department leadership.
Perform other related administrative and operational duties as assigned.

Highly organized with exceptional attention to detail.
An effective leader who can coordinate multiple priorities and support a busy office environment.
Skilled in managing confidential information with professionalism and discretion.
Comfortable working with databases, financial records, and administrative systems.
An excellent communicator who builds positive working relationships with families, providers, County departments, and State agencies.
Proficient in Microsoft Office applications, including Word, Excel, Outlook, and Teams.
Able to work independently while contributing to a collaborative team environment.

Minimum Qualifications

Applicants must possess a high school diploma or equivalent and meet one of the following qualifications:

Option A

Bachelor's Degree from a regionally accredited or New York State registered college in Business Administration, Health Services, Human Services, or a closely related field and
Two (2) years of full-time paid administrative experience overseeing a human services office providing direct client services, including one (1) year of supervisory experience.

Option B

Associate's Degree from a regionally accredited or New York State registered college in Business Administration, Health Services, Human Services, or a closely related field and
Four (4) years of the qualifying administrative experience described above, including supervisory responsibilities.

Option C

Six (6) years of qualifying administrative experience overseeing a human services office providing direct client services to the public, including supervisory responsibilities.

Pay: $28.58 - $37.39 per hour
