Executive & Personal Assistant

C-Max Produce is a family-owned Persian lime grower, packer, and distributor operating between Mexico and the United States.

With our own growing operations and packing house in Veracruz, Mexico, and U.S. operations in Texas, we manage our product from the field through distribution. Our business is built around quality, consistency, strong customer relationships, and hands-on involvement from company ownership.

About the Role

C-Max Produce is looking for a reliable, organized, and proactive Executive & Personal Assistant to provide day-to-day support to company ownership and help keep administrative and operational tasks running smoothly.

This is a hands-on position for someone who is comfortable managing office responsibilities, following up on important tasks, coordinating with people in both Mexico and the United States, running occasional business and personal errands, and stepping in wherever support is needed.

The ideal candidate is resourceful, trustworthy, organized, and able to take a task from request to completion without requiring constant supervision.

Key Responsibilities

Provide direct administrative and executive support to company owners.
Manage and follow up on daily administrative tasks, priorities, and pending items.
Organize invoices, receipts, checks, documents, records, and other company files.
Assist with accounts payable and accounts receivable follow-ups.
Track pending payments, checks, deposits, and supporting documentation.
Pick up and deliver checks, documents, packages, or other business materials when needed.
Make occasional trips to banks, offices, warehouses, vendors, or other locations on behalf of the company.
Assist with phone calls, emails, appointments, meetings, and general business communication.
Communicate and follow up with customers, vendors, service providers, banks, and other business contacts in both English and Spanish.
Research products, services, vendors, pricing, or information requested by company ownership.
Schedule appointments, reservations, meetings, calls, and other arrangements.
Maintain organized records and ensure important information is easy to access.
Assist with spreadsheets, reports, data entry, and document preparation.
Track deadlines and follow up on tasks until they are completed.
Handle occasional personal errands or requests for the owners, including appointments, purchases, reservations, research, pickups, and other day-to-day needs.
Assist with special projects and additional administrative or operational needs as they arise.

What We’re Looking For

Fluent in both Spanish and English, written and spoken.
Strong ability to communicate professionally in both languages.
Highly organized and detail-oriented.
Reliable, responsible, and punctual.
Strong follow-through and ability to manage multiple priorities.
Proactive and comfortable taking initiative.
Good judgment and practical problem-solving skills.
Professional communication and interpersonal skills.
Comfortable making phone calls and communicating with customers, vendors, banks, and service providers.
Ability to handle confidential business and personal information with discretion.
Proficiency in QuickBooks, including basic invoicing, payment tracking, accounts payable, accounts receivable, and general recordkeeping.
Comfortable working independently while knowing when to ask questions.
Basic to intermediate knowledge of Microsoft Excel, Word, email, and general office technology.
Ability to quickly learn new systems, processes, and responsibilities.
Valid driver’s license and reliable transportation.
Comfortable running local errands and handling tasks outside the office when necessary.
Previous administrative, executive assistant, office management, or personal assistant experience is preferred.

“Research a few options and send me the best ones.”

—and take responsibility for moving it forward, finding the information needed, following up, and bringing the task to completion.

This role requires someone who understands that no two days will look exactly the same. Some days may be primarily administrative, while others may involve errands, research, coordination, payments, follow-ups, or direct support for company ownership.

Flexibility, common sense, and the ability to get things done are essential.
