CLIENT SERVICES & OPERATIONS COORDINATOR - GUARDIAN SERVICES

GARLAND, TEXAS

FULL-TIME / IN OFFICE

PAY RANGE: $24.00-$26.00 PER HOUR; BASED ON EXPERIENCE

POSITION SUMMARY

Guardian Services is seeking a highly organized, professional, technology-comfortable Client Services & Operations Coordinator to join our office team.

This is an important position within our company that serves as a connection point between our customers, operations team, field personnel, and executive leadership.

The ideal candidate is an exceptional multitasker who communicates professionally, learns new systems quickly, follows through without constant supervision, and takes pride in providing excellent customer service.

This is not simply a receptionist or administrative assistant position. The individual will be responsible for coordinating client needs, assisting with service scheduling, onboarding new customers, maintaining accurate information within company systems, conducting quality-assurance follow-up, supporting daily operations, and providing administrative support to executive leadership.

The right individual will have the opportunity to grow with Guardian Services and assume greater responsibility as the company continues to expand.

PRIMARY RESPONSIBILITIES

Client Service & Account Coordination

Serve as a professional point of contact for active Guardian Services customers.
Respond to customer questions and service requests by phone and email.
Assist customers with scheduling and rescheduling services.
Maintain accurate customer contact, location, service, and account information.
Follow up on outstanding customer needs and requests.
Conduct post-service quality-assurance calls and follow-up.
Document customer compliments, concerns, and service issues.
Coordinate internally to ensure customer concerns are resolved.
Develop strong professional relationships with Guardian customers.
Identify issues that require management involvement and escalate appropriately.

New Client Onboarding

Assist with onboarding newly acquired customers.
Collect required customer, billing, location, contact, and service information.
Enter and maintain information within company software systems.
Assist with scheduling initial services.
Ensure required documentation is collected and properly stored.
Communicate internally with operations regarding new accounts and special requirements.
Help create a smooth transition from sale to active Guardian customer.

Scheduling & Operations Support

Assist the operations team with customer scheduling.
Coordinate customer availability with operational scheduling requirements.
Confirm service dates and communicate schedule changes.
Maintain accurate scheduling and service information.
Assist with special projects, large jobs, recurring services, and customer requirements.
Communicate relevant information between customers, management, and field operations.
Track open items and ensure appropriate follow-through.

Administrative & Technology Responsibilities

Work within multiple software platforms throughout the day.
Maintain accurate customer and operational records.
Prepare reports, spreadsheets, correspondence, and other documents.
Manage electronic files and documentation.
Perform data entry accurately and efficiently.
Assist with reporting and information gathering.
Learn new technology and software as Guardian's systems evolve.
Maintain confidentiality regarding company, employee, and customer information.

Executive & Management Support

Provide administrative support to the CEO and other members of management as needed.
Assist with correspondence, reports, presentations, spreadsheets, research, and special projects.
Help management track deadlines and outstanding items.
Assist with company initiatives and internal projects.
Perform other reasonable office and administrative responsibilities as needed.

REQUIRED QUALIFICATIONS

Excellent verbal and written communication skills.
Strong computer skills and ability to quickly learn new software.
Strong organizational and time-management abilities.
Excellent attention to detail.
Ability to manage multiple priorities simultaneously.
Professional telephone and email communication.
Strong customer-service skills.
Ability to work independently and take initiative.
Ability to follow through on assignments without repeated reminders.
Sound judgment regarding when to handle an issue independently and when to involve management.
Comfortable working in a fast-moving service business where priorities can change throughout the day.
Proficiency with Microsoft Office, including Outlook, Word, and Excel.

PREFERRED QUALIFICATIONS

2–5+ years of office, client service, operations, scheduling, account coordination, or similar professional experience.
Experience with CRM, field-service management, scheduling, or customer-management software.
Experience supporting managers or executives.
Experience working for a service, construction, facilities, trades, or field-service company is beneficial but not required.
