Office & Accounting AssistantJob Summary

We are seeking an organized, proactive, and detail-oriented Office & Accounting Assistant to support our daily administrative and accounting operations. This position will assist with company paperwork, purchase orders, payment tracking, QuickBooks data entry, vendor documentation, and general office responsibilities.

The ideal candidate is dependable, comfortable working with numbers, able to maintain accurate records, and willing to assist with a variety of administrative tasks in a fast-paced office environment.

Duties and Responsibilities

Enter purchases, bills, expenses, deposits, and payments into QuickBooks.
Create, update, and track purchase orders.
Verify customer payments and maintain accurate payment records.
Assist with accounts payable and accounts receivable.
Match purchase orders, invoices, receipts, and vendor bills.
Organize and maintain digital and physical company records.
Review vendor statements and identify missing invoices or payment discrepancies.
Assist with preparing checks and recording payments.
Track company expenses and assist with basic financial reports.
Communicate with vendors regarding invoices, orders, payments, and account balances.
Scan, upload, file, and email company documents.
Assist with payroll data entry and employee records when needed.
Support the Office Manager and management team with administrative duties and special projects.
Maintain confidentiality of company and financial information.

Requirements

Previous experience in office administration, bookkeeping, accounting assistance, or a related role is preferred.
Experience using QuickBooks Online is strongly preferred.
Basic understanding of accounts payable, accounts receivable, invoices, payments, and purchase orders.
Comfortable using Microsoft Excel, email, and general office software.
Strong organizational and data-entry skills.
Excellent attention to detail and accuracy.
Ability to prioritize tasks and manage multiple responsibilities.
Strong written and verbal communication skills.
Ability to work independently and collaborate with other team members.
English and Spanish communication skills are a plus.

Preferred Qualifications

Experience working with vendors, contractors, inventory, or construction-related businesses.
Experience entering bills, purchases, payments, and expenses into QuickBooks.
Familiarity with purchase orders and vendor account reconciliation.

Pay: $22.00 - $29.23 per hour
