Full Job Description

Description:

Position Summary

The A/R Hotel/Membership Billing Clerk is responsible for the accurate reviewing, balancing and posting of all direct billings, credit card charges and payments; balancing accounts receivable daily; preparation of daily invoices on all city ledger accounts; and preparation, organization and filing of all reports in accordance with the company’s accounting and credit policies and procedures. This position requires consistent adherence to policies and procedures of the department as outlined in the Biltmore Standard Operating Procedures (BSOP’S).

Responsibilities

Manage wholesale/3rd party billing and corporate billing
Conduct collections on past due accounts and maintain aging reports
Provide excellent customer service by assisting with guest folios, guest billing inquiries, and replying to general inquiries emails and incoming phone calls
Handle credit card disputes and maintain/file night audit packs
Assist with additional duties as assigned

Membership Billing:

Email monthly statements on the 1st of each month
Process monthly POS member charges on the 5th of each month
Process monthly financing accounts (repetitive) on the 8th of each month
Conduct collections on declined credit cards and maintain membership aging reports
Respond to member inquiries in a timely and professional manner regarding FIT/Distressed accounts dealing with complaints, questions or disputes with proper follow up and resolution.
Tracking of FIT/Distressed accounts on the A/R aging to follow up with collection calls when accounts are past due and posting authorized adjustments in order to balance invoice/account

Requirements:

Experience and Education Required

High school diploma or equivalent; associate or bachelor’s degree in accounting or related field preferred
1+ year(s) of experience in accounting, billing, collections, or customer service
Proficient in Microsoft Office and accounting software

Physical Demands

Must be able to:

Move, lift, carry, push, pull, and place objects weighing less than or equal to 20 pounds without assistance
Stand, sit, or walk for an extended period of time or for an entire work shift
Reach overhead and below the knees, including bending, twisting, pulling, and stooping
Use, carry, and operate all necessary office equipment using finger dexterity.
Communicate with employees, managers, subordinates and guests through verbal communication, hearing ability, and visual acuity.
Visually look at a computer for extended periods of time.
Adapt to moderate temperatures in the hotel as thermostat is controlled by hotel environmental systems. Most work tasks are performed indoors.
