Job Overview

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This vital role ensures smooth administrative workflows, maintains a welcoming front desk presence, and supports team productivity through effective management of office systems and processes. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating an efficient and positive workplace atmosphere. Responsibilities

Oversee all office management functions, including supply procurement, equipment maintenance, and facility upkeep
Manage front desk operations, greeting visitors and handling multi-line phone systems with professionalism and courtesy
Coordinate calendar management, scheduling meetings, appointments, and conference rooms efficiently
Perform data entry tasks with accuracy using productivity software such as Microsoft Office and Google Workspace
Handle clerical duties including filing, proofreading documents, and maintaining organized records
Provide exceptional customer support by addressing inquiries promptly and professionally via phone or email
Support bookkeeping activities using QuickBooks or similar accounting software to ensure accurate financial records
Assist with personal assistant responsibilities as needed, including travel arrangements and correspondence management

Skills

Proven experience in office management or administrative roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Technical proficiency with office equipment, data entry systems, and productivity software
Excellent phone etiquette and experience managing multi-line phone systems
Bilingual abilities are highly preferred to serve diverse client needs effectively Spanish speaker is highly recommended
Strong typing skills with attention to detail for proofreading and document accuracy
Knowledge of bookkeeping practices using QuickBooks or comparable software
Experience in medical or dental receptionist roles is a plus, demonstrating familiarity with front desk procedures in healthcare settings
Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment
Customer service orientation with the ability to handle inquiries professionally and courteously
