A little about us

Coopertown Services is a second-generation, family-owned business that has proudly served the Memphis area since 1977.

We are a small, established company with a professional, clean, organized office and a close-knit team. Our field technicians provide specialized fireplace services and humane wildlife removal, while our office team keeps the business organized, communicates with customers, supports our technicians, and makes sure the day-to-day operation runs smoothly.

We are looking for someone who wants to become an important part of that operation—not simply someone looking for a place to sit at a desk.

About the position

The Office & Operations Administrator will begin by learning the core administrative functions of our office and, as those skills are mastered, gradually take on additional responsibility.

The first several weeks are intentionally structured as a training period. Our slower season gives the right person an opportunity to learn our systems, procedures, and industry before the pace picks up.

We expect the core responsibilities of the position to be mastered within approximately six weeks. From there, we want to continue developing the right person into a larger role with greater responsibility and ownership.

This position is a good fit for someone who is dependable, organized, comfortable learning new systems, and takes pride in getting things right. You should be able to follow established processes carefully while also recognizing when something needs attention.

What you'll be responsible for

Your responsibilities will grow as you become proficient, but the core role includes:

Entering data accurately and preparing documents
Creating and maintaining work orders
Communicating professionally with customers through text and written correspondence
Maintaining organized files, records, and documentation
Completing routine safety-related tasks and maintaining safety records
Tracking parts and assisting with inventory counts
Keeping the office organized and handling general administrative responsibilities
Assisting with special projects and other office needs as they arise
Learning our scheduling process and eventually assisting with customer scheduling
Learning our parts-ordering process and taking on ordering responsibilities as your skills develop
Taking on additional operational responsibilities as you become a trusted and capable member of the team

What we're looking for

We are less concerned with whether you've worked specifically in the fireplace or wildlife industry and more concerned with how you work.

You may be a strong fit if you:

Are consistently reliable and punctual
Take responsibility for your work and follow through without constant supervision
Pay close attention to details and care about accuracy
Can learn and follow established procedures without taking shortcuts
Communicate professionally and clearly in writing
Are comfortable using computers and learning new software and systems
Stay organized when there are multiple things happening at once
Have a calm, professional approach to customers and coworkers
Are able to learn unfamiliar information and apply it correctly
Notice problems and take the initiative to address them
Take pride in keeping your work and workspace organized
Want to learn more and take on additional responsibility over time

Prior experience in a professional environment—such as an office, healthcare, hospitality, real estate, property management, or another service-based business—is helpful.

Industry experience is not required. We can teach you our business. We are looking for someone who already has the work habits and judgment needed to learn it well.

This is a growth position

We are intentionally looking for someone who wants to grow into the position, rather than remain at the same level indefinitely.

As you demonstrate that you can reliably handle the core responsibilities, we expect to expand your role into areas such as scheduling, parts ordering, additional customer communication, and other aspects of office operations.

$19.00–$25.00 per hour, depending on experience and qualifications
