Full Job Description

Western Trailers is seeking an experienced, highly organized Payroll Specialist to process accurate, timely payroll for approximately 400 employees across multiple states.

This position is responsible for the full payroll cycle, including employee timekeeping, payroll changes, deductions, garnishments, payroll taxes, reconciliations, and year-end reporting. The Payroll Specialist will work closely with Human Resources, department managers, supervisors, and employees throughout the company.

The successful candidate will be dependable, deadline-driven, detail-oriented, and comfortable handling confidential employee and payroll information.

Essential Duties and Responsibilities

Process accurate and timely biweekly payroll for hourly and salaried employees in multiple states, Including: Idaho, Oregon, Washington, and California.
Collect, import, verify, and reconcile employee time and payroll information from multiple systems, researching and correcting discrepancies as needed.
Maintain accurate payroll records for new hires, terminations, transfers, pay adjustments, tax elections, direct deposits, address changes, and other employee updates.
Process garnishments, child support orders, 401(k) loans, employee purchases, insurance deductions, and other authorized payroll deductions.
Prepare and submit federal, state, and local payroll tax deposits bi weekly and monthly and required quarterly and year-end filings, including Forms 941 and W-2.
Track and reconcile paid time off and calculate final pay for departing employees in accordance with applicable requirements.
Respond to employee payroll questions and resolve reported paycheck discrepancies.
Maintain confidential payroll records and work closely with Human Resources, company leadership, managers, and supervisors to ensure payroll information is accurate and submitted on time.

Qualifications

High school diploma or GED required.
Bachelor’s degree in Accounting, Finance, Business Administration, or a related field strongly preferred.
Three or more years of full-cycle payroll experience preferred.
Experience processing high-volume, multi-state payroll strongly preferred.
Working knowledge of federal, state, and local payroll taxes, payroll reporting requirements, garnishments, and other payroll deductions.
Proficiency with Microsoft Excel and experience using payroll and timekeeping systems.
Strong mathematical, reconciliation, data-entry, and problem-solving skills.
Exceptional attention to detail, organization, and time management.
Ability to prioritize responsibilities and consistently meet firm payroll deadlines.
Strong written and verbal communication skills.
Ability to maintain confidentiality and work independently while collaborating effectively with others.
FPC or CPP payroll certification is a plus but not required.

Pay: $24.00 - $27.00 per hour
