We are seeking a reliable, highly organized, and proactive Administrative Assistant (or higher-level Office Administrator/Office Manager) to support daily operations and help our growing team deliver outstanding projects. This is a fantastic opportunity for someone who enjoys a fast-paced professional services environment and wants long-term growth with a respected local firm.Key Responsibilities

Greet clients, manage phones, and handle all front-office communications
Schedule appointments, field survey crews, and project meetings
Prepare, organize, and track proposals, contracts, invoices, and client correspondence
Maintain and organize project files, permits, drawings, and municipal submissions
Support the CAD and engineering teams with document control and filing
Perform basic bookkeeping, invoicing, and expense tracking (QuickBooks experience a plus)
Coordinate with subcontractors, vendors, and government agencies
Assist with marketing materials, website updates, and social media (a plus)
For higher-level candidates (Office Administrator/Manager):
Oversee office operations and supplies
Provide HR support (onboarding, benefits administration)
Handle financial reporting and vendor relations
Manage special projects and assist leadership with strategic tasks

Requirements

2+ years of administrative experience (3–5+ years + office management experience preferred for higher-level role)
Strong proficiency in Microsoft Office (Outlook, Word, Excel)
Experience with QuickBooks, project management software, or permitting systems is a strong plus
Excellent written and verbal communication skills
Professional demeanor, attention to detail, and ability to multitask in a busy environment
Prior experience in engineering, surveying, construction, architecture, or professional services is highly preferred
Must be able to work full-time on-site in Plainview, NY

Compensation & Benefits

Salary: $50,000 – $65,000 per year (commensurate with experience)
