Job Summary

We are seeking an energetic and detail-oriented Front Desk Representative to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your enthusiasm and organizational skills will help create a positive first impression for visitors, clients, and team members alike. Responsibilities

Greet visitors and clients warmly, ensuring a professional and friendly atmosphere at all times
Answer multi-line phone systems promptly and direct calls efficiently using proper phone etiquette
Manage incoming and outgoing correspondence, including emails, mail, and packages with accuracy
Maintain the reception area, ensuring it is tidy, organized, and welcoming
Assist with data entry tasks using productivity software such as Microsoft Office, spreadsheets, and Word processing tools
Schedule appointments and coordinate meetings to optimize office workflow
Support administrative tasks such as filing, proofreading documents, and managing office supplies
Utilize computer skills to update records in QuickBooks and other office management systems
Provide customer support by addressing inquiries professionally and efficiently
Handle clerical responsibilities with precision, including typing reports and maintaining client communication logs

Requirements

Proven experience in office management or front desk roles with strong organizational skills
Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), spreadsheets, and data entry software
Familiarity with multi-line phone systems and phone communication best practices
Bilingual abilities are highly desirable to serve diverse client needs effectively
Strong customer service skills combined with professional phone etiquette
Technical proficiency in office productivity software and general computer skills required for daily tasks
Ability to manage time effectively while handling multiple responsibilities simultaneously
Previous experience with QuickBooks or similar accounting software is a plus
Office experience that demonstrates attention to detail, proofreading skills, and organizational aptitude
Personal assistant or administrative experience that highlights reliability and proactive support capabilities
