Full Job Description

TAMARA FELDMAN is seeking an exceptional Executive Assistant to the Principal to provide high-level support to the firm's Founder and Creative Director.

This is a fast-paced, highly trusted role requiring exceptional organization, discretion, judgment, and the ability to anticipate needs. The Executive Assistant will serve as a key point of coordination between the Principal, internal team, clients, vendors, industry contacts, and personal commitments.

Key Responsibilities

Manage the Principal’s calendar, appointments, meetings, and daily schedule
Proactively prioritize and protect the Principal’s time
Coordinate internal and external meetings and ensure the Principal is fully prepared with relevant information and materials
Manage and prioritize incoming communications, correspondence, invitations, and requests
Draft and respond to emails and correspondence on the Principal’s behalf as appropriate
Maintain an organized system for follow-ups, pending decisions, and action items
Coordinate domestic and international travel, including flights, hotels, transportation, reservations, and detailed itineraries
Manage professional and industry engagements, including events, speaking opportunities, dinners, openings, and client meetings
Coordinate closely with the studio team regarding project meetings, deadlines, client presentations, and Principal approvals
Liaise professionally with high-profile clients, architects, contractors, vendors, galleries, showrooms, editors, and other industry contacts
Manage reservations, appointments, gifts, deliveries, and other requests
Assist with select personal scheduling and administrative matters as needed
Track expenses, receipts, reimbursements, and credit card documentation
Maintain confidential files, contacts, and information
Anticipate scheduling conflicts and logistical issues and resolve them proactively
Ensure important commitments and follow-ups do not fall through the cracks

Qualifications

2+ years of Executive Assistant experience, preferably supporting a founder, CEO o creative principal.
Experience within interior design, architecture, luxury, fashion, art, hospitality, or another high-touch creative industry is highly desirable
Exceptional organizational and time-management skills
Excellent written and verbal communication
Strong judgment and ability to prioritize without constant direction
Highly polished and professional when interacting with clients and industry contacts
Comfortable working in a fast-paced environment with frequently changing priorities
Strong proficiency with Google Workspace, Monday, Microsoft Office, calendars, and digital organizational tools
Excellent attention to detail
Ability to maintain the highest level of confidentiality and discretion
Flexibility regarding occasional after-hours requests, events, and travel coordination

The Ideal Candidate

The ideal candidate is two steps ahead at all times. They understand what requires the Principal’s attention, what can be handled independently, and what can be delegated to the appropriate team member.

They are polished but not corporate, highly resourceful, calm under pressure, and exceptionally discreet. Most importantly, they create structure around a busy creative Principal, allowing her to focus her time on design, clients, business development, and the creative direction of the firm.

Pay: $50,000.00 - $60,000.00 per year
