Bookkeeping Inventory Marketplaces Process Improvement AI & Automation

Full-Time | Distribution, E-Commerce & Marketplace Accounting

We are a growing consumer-products distribution company selling through major retailers, online marketplaces, and direct-to-consumer channels. We are looking for a highly organized, detail-oriented Bookkeeper / Accounting & Operations Specialist to take ownership of the day-to-day bookkeeping associated with our distribution and marketplace business.

This is not simply a data-entry bookkeeping position.

We are looking for someone who understands accounting and numbers but also thinks about systems, organization, automation, and efficiency. The ideal person will help us build better processes as the company grows, including using AI, automation, and modern software tools to reduce manual work, improve accuracy, and give management better visibility into the business.

Language Skills: Fluency or professional working proficiency in Mandarin Chinese or Japanese is strongly preferred, as this role may involve communication and coordination with overseas factories, suppliers, and business partners.

Key Responsibilities

Manage day-to-day bookkeeping for our distribution and marketplace operations
Record and categorize sales, expenses, payments, fees, refunds, credits, and other transactions
Reconcile bank and credit card accounts
Reconcile retailer and marketplace settlements against invoices and orders
Track accounts receivable and customer payments
Track accounts payable and vendor/factory payments
Reconcile marketplace payouts, commissions, fees, refunds, returns, and deductions
Review retailer chargebacks, shortages, deductions, allowances, and discrepancies
Reconcile inventory-related transactions with accounting records
Assist with landed-cost tracking, including product cost, freight, duties, and related expenses
Maintain accurate customer and vendor balances
Follow up internally on missing invoices, payments, credits, or documentation
Maintain clean and organized accounting records
Assist with month-end closing and reconciliation
Prepare management reports showing receivables, payables, cash position, sales, deductions, and other key financial information
Work with management, operations, logistics, sales, and outside accountants/CPAs as needed

Process Improvement, AI & Automation

A major part of this position will also be helping us organize and improve our internal accounting processes as the company grows.

The ideal candidate should be interested in using technology to work smarter and more efficiently.

Responsibilities will include:

Identify repetitive manual accounting and administrative tasks that can be automated
Help develop cleaner and more scalable bookkeeping processes
Use AI tools to improve organization, reporting, reconciliation, and workflow efficiency
Help connect and organize information across accounting, inventory, marketplaces, banks, and internal systems
Build better reporting and dashboards for management
Develop repeatable processes and SOPs so accounting operations do not depend on one person's memory
Look for opportunities to eliminate duplicate data entry and unnecessary manual work
Help management evaluate and implement new accounting, AI, and automation tools
Continuously look for ways to make the company more organized, efficient, accurate, and scalable

We do not expect the candidate to be a programmer or AI engineer. We are looking for someone who is comfortable learning new technology, experimenting with better ways of working, and using modern tools to improve traditional bookkeeping processes.

Strong with Excel and spreadsheets
Experienced with QuickBooks or similar accounting software
Experienced with inventory, distribution, wholesale, retail, or e-commerce bookkeeping
Technology-minded and interested in AI and automation
Naturally interested in finding faster and better ways of doing things
Able to take a disorganized or manual process and turn it into a clear, repeatable system
Excited about helping build the accounting infrastructure of a growing company rather than simply maintaining the status quo

Highly Preferred Experience

Experience with one or more of the following is a major plus:

Consumer-product distribution
Wholesale accounting
E-commerce accounting
Amazon, Walmart, Shopify, or other marketplace settlements
Major retailer accounts
Retailer deductions and chargebacks
Inventory accounting
Purchase orders and vendor invoices
Importing and landed-cost calculations
SellerCloud or similar inventory/order-management systems
QuickBooks
Advanced Excel
AI productivity tools
Accounting automation
Workflow automation
Building dashboards and management reporting
Creating SOPs and improving internal processes

Experience working with international suppliers, factories, or cross-border transactions is also a plus.
