About the role:

SUMMARY:

The HR Operations Coordinator – Miami plays a critical role in supporting the daily HR operations across nine warehouse locations in Miami. This position serves as the primary liaison between staffing agencies, warehouse leadership, and the HR Operations team to ensure accurate workforce administration, timely employee processing, and operational excellence.

The coordinator is responsible for maintaining workforce data accuracy within UKG/NOVA, coordinating agency employee onboarding and terminations, supporting employee engagement initiatives, assisting with seasonal workforce execution, maintaining HR operational dashboards, and providing administrative support for safety and operational programs.

This role reports directly to the Head of Total Rewards & HR Operations and works closely with HR Operations leadership and warehouse management.

DUTIES AND RESPONSIBILITIES:

Workforce Administration

Serve as the primary HR Operations contact for all nine Miami warehouse locations.
Process and maintain all agency employee new hires within the UKG/NOVA timekeeping system.
Process employee terminations and ensure timely system updates.
Maintain accurate employee records and workforce information.
Ensure workforce data integrity within all HR systems.
Assist with employee profile creation and updates.

Staffing Agency Coordination

Serve as the primary liaison between Elite Flower and staffing agencies.
Coordinate new hire requests with agencies.
Communicate employee separations and workforce changes.
Monitor agency employee information for accuracy.
Support staffing during peak operational seasons.
Maintain positive working relationships with staffing partners.

Warehouse HR Support

Build strong working relationships with managers across all nine Miami warehouses.
Support daily HR operational requests from warehouse leadership.
Learn the operational structure, customer accounts, and workforce needs of each warehouse.
Provide timely communication regarding staffing updates and workforce changes.

HR Systems & Reporting

Maintain the accuracy of the HR Operations dashboard.
Verify employee counts and workforce reports.
Assist with KPI tracking and workforce reporting.
Support HR Operations data validation initiatives.

Employee Experience

Coordinate employee birthday recognition activities.
Assist with employee engagement initiatives.
Support communication of HR programs and events.
Promote a positive employee experience across all Miami locations.

Safety & Operational Support

Coordinate the distribution of employee safety vests.
Maintain inventory of safety vests.
Order safety equipment and First Aid Kit refill supplies through Amazon Business.
Coordinate replenishment of First Aid Kits across all Miami warehouses.
Assist with other HR Operations supply management as assigned.

Seasonal Operations

Provide operational HR support during Valentine's Day and Mother's Day peak seasons.
Assist with high-volume hiring and workforce coordination.
Support warehouse staffing activities during seasonal production.
Maintain flexibility to work extended hours as business needs require.

Cross-Functional Support

Collaborate with HR Operations team members to support department initiatives.
Assist with HR projects and process improvements.
Participate in department meetings and operational planning.
Support additional HR Operations initiatives as assigned by leadership.

QUALIFICATIONS and SKILLS:

Education

Associate's Degree required.
Bachelor's Degree in Human Resources, Business Administration, or related field preferred.

Experience

Minimum 2 years of Human Resources or HR Operations experience.
Experience supporting warehouse or manufacturing operations preferred.
Experience working with staffing agencies preferred.
Experience with HRIS and timekeeping systems.
Experience in a multi-site environment is a plus.

Knowledge, Skills & Abilities

Strong organizational and time management skills.
Excellent attention to detail.
Strong communication and interpersonal skills.
Ability to manage multiple priorities simultaneously.
Proficient in Microsoft Office Suite, especially Excel.
Experience with UKG, NOVA, ADP, or similar HR systems preferred.
Ability to maintain confidentiality.
Customer-service mindset.
Ability to build relationships with operations leaders.
Bilingual English/Spanish preferred.
Comfortable working in a fast-paced warehouse environment.

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT

Ability to sit, stand, walk, and conduct training sessions for extended periods.
Ability to travel between company locations as needed.
Ability to occasionally lift training materials up to 20 pounds.
Work is performed in office, warehouse, and operational environments.
