Event Coordinator – Mad Room Hospitality (Ball & Chain & Snappers Key Largo)

Mad Room Hospitality, a vibrant and expanding Hospitality Group, boasts an array of exciting F&B venues in Miami Dade, Broward, and Monroe Counties. We are on the lookout for a passionate Event Coordinator to join our team. This role is ideal for those looking to thrive in a fast-paced, growth-driven environment, ready to make a substantial impact at all operational levels.

Reports to: Event Manager, Director of Operations, Ownership

Role Overview:

The Event Coordinator will be instrumental in planning, organizing, and executing events that enhance the visibility and reputation of each unique venue within our group. This role demands a highly organized, detail-oriented individual who excels in managing projects and maintaining relationships with clients and vendors. The successful candidate will ensure that all events reflect the distinctiveness of our brand while meeting or exceeding our financial and business objectives.

Key Responsibilities:

Coordinate and execute on-site and external events from conception through to completion.
Collaborate with venue managers and marketing teams to ensure each event is tailored to showcase the venue’s unique features and align with brand standards.
Manage event budgets and negotiate with vendors to meet financial targets.
Develop and maintain strong relationships with clients, vendors, and internal teams.
Coordinate logistics, including event timelines, venue preparation, guest lists, equipment, promotional material, etc.
Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any issues that arise.
Conduct post-event evaluations and report on outcomes.
Research market trends and competitor strategies to propose innovative ideas to improve service and event quality.
Assist with marketing and promotion of events to maximize attendance and revenue.
Provide exemplary customer service to ensure guest satisfaction.

Qualifications:

Proven experience in event planning or coordination, preferably within the hospitality industry.
Strong organizational skills with the ability to manage multiple projects simultaneously.
Excellent communication and interpersonal skills, with an aptitude for building relationships with professionals of all organizational levels.
Ability to work independently and as part of a team.
Creative problem-solving skills and attention to detail.
Flexibility to work irregular hours, including evenings, weekends, and holidays.
Proficiency in Microsoft Office and TripleSeat event management software.
