About the Role

Jacob & Co. is seeking a highly organized, discreet, and dependable Administrative Personal Assistant to provide day-to-day administrative, personal, and scheduling support.

Based in Miami, Florida, this is a full-time, on-site position requiring flexibility, strong attention to detail, and the ability to manage a wide variety of professional and personal tasks. The ideal candidate is hands-on, resourceful, responsive, and comfortable working closely with a high-profile principal in a fast-paced environment where priorities can change quickly.

This role is primarily focused on personal assistance, organization, scheduling, and day-to-day coordination, rather than executive-level strategy or business management.

Key Responsibilities:
Calendar & Scheduling

Manage and maintain the Principal’s daily calendar, including personal appointments, meetings, dinners, travel, and other commitments.
Coordinate and confirm appointments, reservations, and engagements.
Ensure the Principal is aware of upcoming commitments and has all necessary information in advance.
Manage last-minute schedule changes and adjustments efficiently.
Coordinate timing between the principal, family, staff, drivers, offices, and other relevant contacts.

Personal Assistance

Handle day-to-day personal requests and administrative tasks.
Assist with personal appointments, reservations, deliveries, and other arrangements.
Coordinate with family members, household staff, drivers, assistants, hotels, restaurants, and service providers as needed.
Ensure personal requests are handled promptly, accurately, and discreetly.

Communication & Coordination

Manage routine incoming communications and requests related to the schedule and personal matters.
Draft and send straightforward correspondence and messages as requested.
Coordinate with internal staff, vendors, clients, friends, family members, and other contacts.
Follow up on outstanding requests and ensure tasks are completed.

Office & Administrative Support

Assist with maintaining an organized and efficient working environment for the Principal.
Organize documents, correspondence, receipts, and other materials.
Assist with printing, scanning, filing, shipping, deliveries, and other administrative tasks.
Monitor office and personal supplies and coordinate replenishment when necessary.
Help resolve day-to-day administrative issues quickly and efficiently.

Expenses & Personal Administration

Organize receipts and expenses and assist with expense reporting.
Maintain records of personal and business-related purchases and expenses as requested.
Coordinate with accounting and administrative teams regarding invoices, payments, and documentation.

General Support

Assist with special projects, personal requests, and other tasks as assigned.
Research and gather information when requested.
Coordinate with various members of the team to ensure tasks are completed.
Anticipate routine needs and help ensure the day runs smoothly.
Maintain a calm, professional, and solutions-oriented approach when priorities change.

Qualifications

Previous experience as a Personal Assistant, Executive Assistant, Private Assistant, or similar support role is preferred.
Experience working with a high-profile individual, principal, entrepreneur, or family office is a plus.
Exceptional organizational and time-management skills.
Strong attention to detail and follow-through.
Excellent communication skills, both written and verbal.
Highly discreet and trustworthy with a strong understanding of confidentiality.
Proactive, dependable, and willing to take a hands-on approach.
Comfortable handling both professional and personal requests.
Able to work independently and prioritize tasks without constant supervision.
Professional, polished, and personable demeanor.
Comfortable working in a fast-paced environment with frequent schedule changes.
Proficiency with email, calendars, messaging platforms, and standard office software.

Position Requirements

Full-time position based in Miami, Florida.
On-site presence is required.
Must be flexible and responsive based on schedule and needs.
Availability outside standard business hours may occasionally be required, including evenings, weekends, holidays, travel days, or last-minute requests.
Absolute discretion and confidentiality are essential to the position.

Pay: $75,000.00 - $85,000.00 per year
