Job Title: Intake, Scheduling & Administrative Coordinator

Location: Hybrid – Miramar, FL (Serving Broward & Miami-Dade)
Position Type: Full-Time (40 hours/week during training)
Compensation: $22–$25/hour, depending on experience

About the Role

We are seeking a highly organized, proactive, and dependable Intake, Scheduling & Administrative Coordinator to support the daily administrative and operational functions of our growing Applied Behavior Analysis (ABA) practice.

This is a dynamic, fast-paced role that requires exceptional organization, multitasking, responsiveness, and the ability to manage multiple priorities while maintaining accuracy and excellent customer service.

This role combines client intake, scheduling coordination, administrative operations, and workflow management to ensure services are delivered efficiently and families receive exceptional support. The ideal candidate thrives in a busy environment, enjoys keeping multiple moving pieces organized, communicates effectively with families and staff, and takes ownership of tasks from start to finish with minimal supervision.

Key Responsibilities

Coordinate the intake process from initial referral through the start of services, ensuring all scheduling, documentation, approvals, and operational requirements are completed efficiently.
Manage intake calls, referrals, follow-ups, and communication with prospective families.
Verify insurance benefits and communicate patient financial responsibility before services begin.
Coordinate initial assessments, provider schedules, and service start dates.
Coordinate therapy sessions across home, school, clinic, and community settings while balancing therapist availability, family preferences, and client needs.
Collaborate with referral sources, physicians, school administrators, families, and other community partners to obtain required approvals, documentation, and coordination needed to initiate services without delay.
Schedule and reschedule therapy sessions while maintaining accurate and organized calendars.
Manage a high volume of phone calls, emails, scheduling requests, and follow-up communications throughout the day.
Maintain consistent communication with staff regarding schedules, updates, and changes.
Track staff attendance and maintain accurate records of availability and coverage needs.
Monitor required staff trainings, credentialing, and compliance deadlines.
Maintain and update internal tracking systems, scheduling platforms, and operational records.
Send reminders and follow-ups related to scheduling, documentation, and compliance requirements.
Identify scheduling conflicts, gaps, or coverage needs and assist in resolving them proactively.
Prioritize multiple competing tasks while maintaining accuracy, organization, and timely follow-through.
Ensure administrative tasks are completed accurately and within expected timeframes.
Support leadership with administrative and operational priorities to maintain continuity of services.
Perform additional administrative and operational duties as assigned to support the needs of the organization and ensure continuity of services.
Faxing, emailing and obtaining electronic signatures required.
Oversee therapist attendance, recognize attendance patterns and enforce agency policies to decrease excessive absences.

Qualifications

Minimum 2–3 years of administrative, intake, scheduling, coordination, or healthcare office experience.
Experience working in a fast-paced, high-volume environment with potential interruptions and changing priorities.
Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
Demonstrated ability to multitask while maintaining accuracy, professionalism, and attention to detail.
Ability to work independently and consistently follow through without constant supervision.
Excellent verbal and written communication skills.
Comfortable making outbound calls and re-engaging prospective families.
Experience handling scheduling changes, follow-ups, and competing priorities throughout the day.
Detail-oriented with the ability to maintain accurate records and track multiple workflows simultaneously.
Proficient with Google Workspace and comfortable learning scheduling, workflow, and practice management systems.
Friendly, professional, and approachable with the ability to build rapport with families, staff, referral sources, and community partners.

Preferred Qualifications

Experience in an ABA, pediatric, behavioral health, medical, or therapy practice.
Experience with insurance verification and communicating patient financial responsibility.
Familiarity with intake workflows, scheduling systems, authorizations, or healthcare operations.
Experience tracking credentialing, compliance, or staff training requirements.
Experience collaborating with other professionals.
Bilingual (English/Spanish) required.

What Success Looks Like

Families move efficiently from referral to the start of services with minimal delays.
Pending intake documentation is quickly obtained from families and doctor's offices.
Therapy schedules are accurate, organized, and maintained across multiple service settings.
Staff, families, referral sources, and community partners receive timely, professional communication and follow-through.
Administrative tasks are completed accurately and on time with minimal supervision.
Multiple priorities are managed effectively while maintaining a high level of organization and customer service.
Daily operations run smoothly despite changing priorities and a fast-paced workload.

Reporting Structure

Reports directly to the Intake Supervisor for day-to-day responsibilities.
Works closely with the VP of Operations on administrative and operational priorities.
Collaborates with leadership to support organizational goals and ensure continuity of services.

Location & Schedule

Hybrid position based in Miramar, Florida
In Office: Tuesday & Thursday
Remote: Monday, Wednesday & Friday
Standard business hours: 9:00 AM – 5:00 PM
Please note: This position may require additional office days as needed and may transition to a fully in-office role in the future based on business needs. Applicants must be comfortable with this possibility.

This role requires consistent availability, responsiveness, and the ability to effectively manage responsibilities in both in-office and remote settings.

Pay: $22.00 - $25.00 per hour
