Full Job Description

Key Responsibilities

Client Service and Account Support

Manage incoming client service requests with professionalism, urgency, and attention to detail.
Support account maintenance activities, including account updates, beneficiary changes, address changes, account registration updates, and related documentation.
Assist with account opening, new account setup, client onboarding paperwork, account updates, and required suitability documentation.
Track outstanding service items and follow up with clients, advisors, custodians, and internal team members to ensure timely completion.
Maintain a high standard of client confidentiality and accuracy when handling sensitive financial and personal information.

Money Movement and Transfers

Process money movement requests, including checks, wires, ACH transfers, journals, deposits, distributions, and recurring payment instructions.
Prepare, review, and submit ACAT transfer paperwork and monitor transfer progress through completion.
Coordinate with advisors and clients to gather required approvals, forms, signatures, and supporting documentation.
Ensure all money movement and transfer activity follows firm procedures, approval requirements, and applicable compliance standards.
Proactively communicate status updates to clients and internal team members regarding pending transactions.

Client Communication and Front Office Support

Serve as a first point of contact for clients by answering incoming phone calls, directing inquiries, and ensuring clients receive timely support.
Respond to routine client questions and escalate advisory, investment, planning, or complex service matters to the appropriate advisor or team member.
Draft, prepare, and distribute client communications, meeting confirmations, follow-up emails, and service-related correspondence.
Support email campaigns, client newsletters, marketing event invitations, and other approved client communication efforts.
Represent the practice in a professional, warm, and client-centered manner in all phone, email, and in-person interactions.

Meeting Coordination and Advisor Support

Coordinate client meetings, advisor calendars, meeting confirmations, and scheduling logistics.
Prepare account reports, meeting materials, review packets, agendas, and supporting documentation for client review meetings.
Assist with meeting follow-up by documenting action items, assigning tasks, tracking deadlines, and ensuring service items are completed.
Support advisors by helping organize client information, account data, planning materials, and documentation needed for upcoming meetings.
Help create a consistent and organized client meeting experience before, during, and after each interaction.

CRM, Documentation, and Data Integrity

Maintain accurate client records, notes, tasks, workflows, and documentation in Salesforce CRM or other firm-approved systems.
Update client contact information, account details, household information, meeting notes, and service activity in a timely manner.
Ensure documentation is complete, organized, and accessible to advisors and team members.
Assist with maintaining workflow consistency, task management, and data quality across client records.
Support compliance readiness by ensuring required records, forms, and documentation are maintained according to firm policies.

Required Qualifications

Previous experience in financial services, wealth management, banking, insurance, client service, or professional office administration preferred.
Strong organizational skills with the ability to manage multiple priorities, deadlines, and follow-up items.
Excellent written and verbal communication skills.
High attention to detail and commitment to accuracy.
Professional judgment and ability to handle confidential client information appropriately.
Comfort using CRM systems, Microsoft Office, email platforms, and financial services technology tools.
Ability to work collaboratively with advisors, operations staff, clients, and external business partners.
Positive attitude, client-first mindset, and willingness to learn firm processes and procedures.

Preferred Qualifications

Experience working in a financial advisory practice, broker-dealer, RIA, bank, or insurance office.
Familiarity with Salesforce CRM, account opening workflows, ACAT transfers, money movement procedures, and client service documentation.
Knowledge of financial planning, investment account types, retirement accounts, beneficiary designations, and client onboarding processes.
Associate’s or bachelor’s degree in business, finance, accounting, communications, or a related field preferred.
Securities industry licensing or interest in future licensing may be helpful but is not required unless determined by the firm.

Compensation and Benefits

Compensation will be based on experience, qualifications, licensing, and overall role scope. Benefits may include health insurance, retirement plan participation, paid time off, professional development support, and other firm-sponsored benefits, as applicable.

Pay: $20.00 - $40.00 per hour
