Full Job Description

Job Overview

This position may be offered on a full-time or part-time basis and provides administrative and operational support to the Office Manager or Financial Officer, as well as the Social Work staff within the Licensing, Foster Care, and Adoption Departments. The successful candidate will be very organized, dependable, flexible, and able to effectively manage multiple priorities in a fast-paced environment. This role requires the ability to work independently while also collaborating effectively as part of a team. Strong attention to detail, professionalism, and a willingness to adapt to changing needs are essential. The position involves working in an environment where interaction with staff, children and families is routine.

Duties

1. Demonstrate proficiency in Microsoft Office applications, including Microsoft Teams, and possess the ability to effectively utilize computers, laptops, and related technology.

2. Maintain dependable and consistent attendance, including arriving on time and being available during scheduled work hours.

3. Complete all required training and adhere to established policies and protocols regarding Criminal History Record Information (CHRI) Clearances in accordance with MDHHS/DCWL Policy SDM 200 within 30 days of assuming job responsibilities.

4. Demonstrate proficiency in general office procedures, including filing, copying, scanning, electronic document uploading/organization, and basic troubleshooting of office equipment.

5. Demonstrate an awareness of the operations and services provided by a Child Placing Agency, including the needs and characteristics of the children, families, and individuals served. Familiarity with the child welfare system or related human services is preferred but not required.

6. Demonstrate professional and friendly telephone etiquette and proficiency in operating a multi-line telephone system, including voicemail technology.

7. Share responsibility with the Office Manager for carrying and answering an agency phone and responding appropriately to calls transferred to the designated agency phone.

8. Act as back up Office Manager consisting of assisting with switchboard, greet/assist clients, troubleshoot staff concerns, open/scan/distribute daily mail. Coordinates daily office operations, including telephone coverage, customer assistance, mail distribution, shipping, vendor communication, donations, supplies, drug screen testing, and facility organization.

9. Assist staff in accurately filing, maintaining, and closing paper and hard-copy client files while safeguarding confidential information in accordance with organizational policies and the confidentiality agreement signed during orientation.

10. Assist social work staff with preparation for the annual State of Michigan audit by organizing files, documentation, and other materials as requested. Mail annual licensing audit letter to foster and relative care providers.

11. Prepare closed adoption and foster care files for submission to MDHHS as described in MDHHS policy, including completing required forms (DHHS 788), preparing labels, scheduling deliveries, and coordinating the quarterly shipment of closed files. Pick up adoption orders from MDHHS, as requested and assist with other adoption-related administrative needs. Coordinate the opening, organization, auditing, and closure of adoption files; review records for completeness and accuracy.

12. Request and maintain required adoption-related documents, including birth and death certificates, medical records, appeal checks, references, and other supporting documentation. Run required background and record checks. Complete filing and record-keeping responsibilities.

13. Prepare adoption orientation and finalization packets. Work with adoption supervisor to make any additions or corrections.

Provide administrative support for licensing department including but not limited to; emailing training opportunities and resources to foster parents and relatives, copy and compiling agency and licensing orientation packets, mailing welcome packet to licensed foster parents, preparing support group materials, and providing babysitting services during periodic support groups.

15. Will assist all social work staff in all departments assigned to or as needed.

16. Agency Event Participation Requirement: 4 agency sponsored/approved events each calendar year. Employee may choose what event they will participate in that is an agency sponsored event. All agency sponsored events will be posted or sent via email to choose from.

17. Be physically able to perform job duties. If you have a disability that needs work related assistance, you will need to provide that information so that the agency can make accommodations according to the Americans with Disabilities Act.

18. Must be able to pass the following: criminal, sex offender, Protective Services Lien clearances as required prior to start date of position.

19. Reliable transportation with a valid registration and proof of insurance and good driving record.

20. Perform other duties and responsibilities as assigned to support agency operations and client services.

Requirements

1. A minimum of a High School Diploma is required. Additional certifications, Associate or Bachelor’s degree in Office Administration or related field is preferred.

2. One or more years of experience in a similar administrative or supportive role within a Child Placing Agency is preferred but not required.

Pay: $20.00 - $30.00 per hour

Expected hours: 24.0 per week
