Full Job Description

Mount Abraham Unified School District is seeking a highly organized, customer-focused Administrative Assistant to provide administrative support to the Directors of Facilities & Grounds and School Nutrition Services. This position plays an essential role in supporting the daily operations of district facilities, grounds, maintenance, custodial services, and school nutrition programs by coordinating communications, maintaining records, assisting with purchasing and budgeting, and ensuring compliance with state and federal requirements.Essential Responsibilities: Provide administrative support to the Directors of Facilities & Grounds and School Nutrition Services. Serve as the primary point of contact by answering phones, responding to emails, greeting visitors, and assisting staff, vendors, contractors, and the public. Prepare correspondence, reports, meeting agendas, presentations, and other departmental documents.

Maintain calendars and schedule meetings, inspections, contractor visits, service appointments, and other departmental activities. Process work orders and maintain records related to maintenance requests, preventive maintenance schedules, equipment inventories, and warranties. Prepare purchase orders, process invoices, reconcile expenditures, and maintain budget tracking records. Maintain vendor files, contracts, bids, and service agreements.

Coordinate the ordering and tracking of custodial, maintenance, and food service supplies and equipment. Maintain inventory records for departmental equipment, supplies, and materials. Prepare and submit required state and federal reports for facilities and school nutrition programs. Maintain records related to inspections, life safety, playgrounds, asbestos management, OSHA/VOSHA compliance, and other regulatory requirements.

Assist with payroll, timekeeping, onboarding, and personnel documentation for department employees. Coordinate facility use requests and maintain facility scheduling records. Compile data and prepare reports for the Superintendent, Business Office, School Board, and state agencies. Maintain organized electronic and paper filing systems while safeguarding confidential information.

Utilize Google Workspace, Microsoft Office, district financial software, and other technology systems to maintain records and prepare reports. Provide exceptional customer service while working collaboratively with administrators, staff, vendors, contractors, and community members.Knowledge, Skills, and Abilities: Excellent organizational and time management skills. Strong written and verbal communication skills. Exceptional attention to detail and accuracy.

Ability to establish positive working relationships with employees, vendors, contractors, and the public. Knowledge of office procedures, purchasing, budgeting, records management, and customer service. Ability to work independently while exercising sound judgment and maintaining confidentiality. Proficiency with technology and the ability to quickly learn district software systems.Physical RequirementsWhile performing the duties of this position, the employee is regularly required to sit, stand, walk, use a computer, communicate effectively, and occasionally lift and/or move up to 25 pounds.The salary range $25.37 - $37.82 is commensurate with experience and in accordance with the Non-Union Support Staff Agreement.We offer a comprehensive benefits package to our employees, including health, dental, and life & long term disability insurance; retirement savings plans; paid time off; and professional development opportunities.
