Job Summary

The Office Manager is responsible for overseeing the daily administrative operations of the company and ensuring efficient coordination between sales, operations, accounting, project management, permitting, and customer service. This position plays a critical role in keeping projects moving, maintaining accurate records, supporting employees, and delivering exceptional customer service throughout the solar installation process.

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office. This role is vital in ensuring smooth administrative workflows, maintaining efficient communication channels, and supporting our team and customers with exceptional office management skills. The ideal candidate will be proactive, detail-oriented, and possess strong technical proficiency to handle a variety of administrative and project mgmt tasks with enthusiasm and professionalism. As an Office Manager, you will be the backbone of our office, fostering a productive and welcoming atmosphere for staff, customers, and visitors alike.

Responsibilities

Office Administration
Manage daily office operations and administrative procedures.

Customer Service

Serve as the primary point of contact for customers.
Schedule appointments and project meetings.
Communicate project status updates.
Resolve customer concerns or direct them to the appropriate department.
Maintain CRM and customer records.
Collect required homeowner documents and signatures.

Project Administration

Assist Project Managers with project documentation.
Prepare customer contracts and change orders.
Track permits, inspections, and utility applications.
Coordinate scheduling between customers, installers, and inspectors.
Monitor project milestones.
Maintain project files from contract through PTO (Permission to Operate).

Accounting Support

Process invoices and purchase orders.
Assist with accounts payable and accounts receivable.
Track customer payments.
Prepare financing documentation.
Reconcile vendor invoices.
Assist with payroll preparation.
Support month-end reporting.

Human Resources Support

Assist with employee onboarding.
Maintain personnel files.
Coordinate training records.
Track employee certifications and licenses.
Assist with recruiting and scheduling interviews.
Coordinate employee benefits paperwork.

Vendor & Inventory Coordination

Order office supplies.
Coordinate deliveries from suppliers.
Maintain equipment inventory records.
Track company assets.
Assist Operations with material ordering.

Compliance

Maintain contractor licensing records.
Track insurance certificates.
Organize OSHA and safety documentation.
Maintain permit records.
Ensure company records remain audit-ready.

Daily Duties

Open office and prepare daily operations.
Answer phones and respond to emails.
Schedule customer appointments.
Update CRM with project information.
Coordinate permitting paperwork.
Process invoices and payments.
Track customer contracts.
Communicate with utilities and AHJs.
Assist project managers with scheduling.
Order office and project supplies.
Prepare reports for management.
File project documentation.
Support sales and installation teams.
Maintain office organization.
Answer incoming phone calls and respond to customer inquiries.
Maintain office supplies and equipment.
Organize physical and electronic filing systems.
Schedule meetings and company events.
Coordinate company calendars.
Maintain employee records and company documentation.
Ensure office compliance with company policies.

Preferred Qualifications:
Experience in the solar, construction, or electrical industry.
Knowledge of permitting and utility interconnection processes.

Experience with accounting software (QuickBooks).
Familiarity with financing documentation.
Understanding of project scheduling software.

Pay: $50,000.00 - $55,000.00 per year
