Job Description

The Operations & Resident Services Coordinator serves as the central administrative and operational support position for the Affordable Housing Alliance, a nonprofit housing organization. This role coordinates resident services, office operations, maintenance communication, compliance activities, grant administration, and organizational projects while providing exceptional service to residents, community partners, donors, and visitors. Success in this position requires excellent organization, attention to detail, initiative, and strong interpersonal skills.

This is an in-office position and will be 35-40 hours a week.

Essential Functions

Serve as the primary point of contact for residents, applicants, and visitors, ensuring exceptional customer service.
Coordinate leasing, resident services, compliance activities, and administrative functions for AHA-managed properties.
Coordinate maintenance requests, property-related projects, and vendor communication to ensure timely resolution of resident needs.
Provide administrative support for organizational operations, including grant administration, reporting, fundraising support, and special projects.
Responsible for opening and closing the office.

Operations and Organizational Support

Manage office efficiency by maintaining common areas, organizing administrative procedures, handling correspondence, and ensuring the office environment remains organized and functional.
Maintain accurate organizational records, databases, and documentation to support resident services, grant administration, compliance, and organizational operations.
Answer phone calls, respond to emails, and route inquiries to appropriate staff as needed.
Assist in drafting the office budget, monitoring office supplies, and ordering materials.
Provide administrative and project support to the Executive Director and assist with special initiatives that advance the organization's strategic priorities.
Develop, maintain, and improve organizational policies, procedures, and standard operating procedures.
Assist with coordinating volunteers and community service projects, including scheduling, communication, logistics, and administrative support.
Other duties as assigned.

Resident Services Responsibilities

Promotes positive, proactive resident interactions to make their AHA experience of the highest quality.
Solves simple to complex resident relations issues promptly.
Processes resident applications, lease documents, and related paperwork as needed.
Processes rent payments and maintains accurate resident ledgers.
Coordinates compliance documentation and reporting with regulatory agencies, property management partners, and funding organizations as assigned.
Stay up-to-date on compliance and fair housing rules and regulations, and attend various training throughout the year.
Notify residents of any violations and process evictions, attending court when needed.
Visit properties to ensure aesthetics are maintained to the organization's expectations and attend any inspections.

Maintenance Coordination

Receive, document, prioritize, and coordinate resident maintenance requests.
Monitor work order progress and maintain accurate maintenance records.
Communicate with maintenance personnel, vendors, contractors, and property management partners to facilitate timely completion of repairs.
Coordinate property inspections, preventative maintenance schedules, and property improvement projects as assigned.

Grant & Project Administration

Track grant awards, reporting deadlines, reimbursement requests, and required documentation.
Assist with preparation of grant reports and supporting documentation.
Maintain grant files and ensure compliance with reporting requirements.
Assist with capital campaign administration, donor acknowledgements, and project tracking.
Maintain organizational calendars for grant deadlines, reporting requirements, and funding milestones.

Skills and Qualifications

Strong time management and attention to detail with the ability to apply independent judgment to manage daily operations.
Excellent oral and written communication skills in various channels to work successfully with residents, community members, and staff.
Ability to exercise tact and responsibility while handling confidential information.
Advanced computer skills and experience with online platforms for property management and maintenance requests.
Proficiency with Microsoft 365 and the ability to quickly learn property management, accounting, donor management, and organizational software systems.
Must have a valid driver's license and reliable transportation.

Qualifications & Experience

Bachelor’s degree or equivalent preferred.
2+ years of similar or related experience in office management.
At least one year of proven success in affordable housing or rental management.
At least one year of experience using property management software, specifically Rent Redi and Yardi, preferred.

Pay: From $20.00 per hour
