Job Overview
We are seeking a dedicated and professional Front Desk Receptionist to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and strong organizational abilities. This role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The successful applicant will demonstrate proficiency with office management tools, multi-line phone systems, computer literacy and a thorough knowledge of medical terminology, contributing to a positive and efficient workplace environment.

Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
Manage multi-line phone systems, directing calls accurately and professionally while maintaining excellent phone etiquette.
Handle scheduling tasks such as calendar management and appointment setting for patients.
Perform clerical duties including data entry, filing, proofreading, and maintaining organized records.
Utilize office management software and tools such as Microsoft Office, Google and specialized software for the clinical setting.
Provide customer support by addressing inquiries efficiently and professionally across various communication channels.
Maintain a tidy reception area and ensure all office supplies are stocked and organized for optimal workflow.
Assist with special projects or personal assistant duties as needed to support team members' productivity.

Requirements

Proven experience in office settings or as a receptionist within a professional environment, medical office preferred.
Strong computer skills.
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
Demonstrated customer service skills with a friendly yet professional demeanor.
Experience handling multi-line phone systems and practicing proper phone etiquette.
Bilingual abilities are highly desirable to serve diverse client needs effectively.
Knowledge of familiarity with medical or receptionist duties is a plus.
Ability to take and record payments as well as make appropriate change when needed.
Strong typing skills along with attention to detail for proofreading and data accuracy.
