Full Job Description

Job Summary

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team. This vital role combines accurate financial record-keeping with efficient administrative support to ensure the smooth operation of our office. The ideal candidate will be proactive, highly organized, and possess excellent communication skills. You will handle a variety of tasks, from managing bookkeeping responsibilities to providing exceptional customer service and communications with vendors, all while maintaining a positive and professional attitude. This paid position offers an exciting opportunity to contribute to a collaborative work environment and develop your skills in both finance and administration.

Duties

Manage daily bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations
Maintain accurate financial records and prepare reports for management review
Handle multi-line phone systems, directing calls efficiently and professionally
Greet (rare) visitors to the office, providing excellent customer service and team support
Perform data entry with high accuracy into various office management systems and databases
Assist with clerical tasks such as filing, proofreading, and document organization
Support calendar management and scheduling for team members, including appointment setting and reminders
Maintain office supplies inventory and coordinate procurement as needed
Provide general administrative support such as copying, scanning, and email correspondence
Utilize productivity software including Microsoft Office Suite and approved others to complete daily tasks efficiently
Other administrative and operational tasks in assistance to President and Office Manager

Requirements

Proven experience with office management, clerical duties, or administrative support in a professional setting
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and other digital tools
Experience with QuickBooks or other accounting software is highly preferred
Excellent organizational skills with the ability to prioritize tasks effectively
Exceptional typing speed and accuracy for data entry and document proofreading
Bilingual abilities are a plus to assist diverse client needs
Strong phone etiquette skills with experience managing multi-line phone systems
Knowledge of office procedures including filing systems, calendar management, and time management techniques
Technical proficiency in using productivity software and basic office equipment
