Day - 08 Hour (United States of America)

The Administrative Assistant responsibilities include directing phone calls, greeting and directing visitors, mail sorting & delivery, managing administrative supplies. Provide administrative support to the Facilities & Fleet operations. This includes fielding and coordinating service requests & projects through Spiceworks & Maintain X systems, coordinating projects and providing back-up for the SBC Facilities Team, scheduling and follow-up with external contractors. Responsibilities also include project coordination and Purchasing follow-up, along with developing Facilities & Fleet communications.

This is a Stanford Blood Center job.

A Brief Overview
Provide routine administrative or operational support working from detailed instructions or under direct supervision.

What you will do

Greet visitors and route them to appropriate individuals, answer phones, and serve as a resource on department procedures and general inquiries.
Arrange meetings and assist with routine conferences including scheduling rooms, managing equipment, ordering meals and assembling materials.
Disseminate routine communications such as memos, notices, emails, and letters. Perform office duties including, but not limited to, handling of incoming and outgoing mail, entering data into basic tables, reports, or spreadsheets, making copies, and monitoring and ordering of departmental supplies. Create and maintain files and filing systems.
May make travel arrangements as directed in compliance with organizational policies.
Review invoices for accuracy, and initiate purchase requisitions.
Setup office spaces and/or support coordination of basic office moves as directed.
Track facility, departmental and/or office equipment, maintain sufficient inventories and schedule repairs as needed.
May provide guidance to temporary and student employees on routine matters.
Comply with governmental regulations and Stanford Health Care and Blood Center policies regarding health and safety. Observe and support good health and safety practices.
Strictly observe privacy and security related policies, procedures and practices to preserve the integrity and confidentiality of medical and other sensitive information pertaining to donors, patients, research subjects, and employees. Act as a responsible information steward and treats information as sensitive and confidential in accordance with federal and state laws and with professional ethics, accreditation standards and legal requirements. Do not disclose protected health information inappropriately.
May be required to enter areas where other individuals work with human blood; potential may exist for unanticipated exposure to blood borne pathogens by splash or spill.

Education Qualifications

High School Diploma or GED Required

Experience Qualifications

Two years of administrative experience required.

Basic computer skills and demonstrated experience with office software and email applications (Microsoft Office suite).
Ability to follow through and complete assigned tasks.

Base Pay Scale: Generally starting at $33.14 - $42.25 per hour

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage.
