Full Job Description

We are looking for a dependable, organized, and customer-focused Parts, Rental & Service Coordinator to join our team.

This position plays an important role in supporting our customers, rental department, and service technicians. In addition to assisting customers with parts and rental needs, this individual will work closely with our service department by researching parts, preparing quotes, ordering parts, tracking orders, and helping keep repair jobs moving efficiently.

The ideal candidate is comfortable working in a fast-paced equipment dealership environment, can manage multiple priorities, and enjoys solving problems for both customers and technicians.

Primary ResponsibilitiesService Support

Serve as a primary parts resource for service technicians.
Research and identify parts needed for equipment repairs.
Look up parts using manufacturer parts catalogs, diagrams, and online systems.
Prepare parts quotes and estimates for service jobs.
Order parts required for customer and internal repairs.
Track backordered and incoming parts and communicate updates to technicians and management.
Stage and organize parts for upcoming service jobs.
Assist with service work orders and repair documentation as needed.
Communicate with customers regarding repair parts, availability, pricing, and job status when appropriate.
Help coordinate between the service department, parts department, customers, and vendors to keep repair work moving.
Assist with warranty-related parts documentation and returns when required.

Parts Department

Assist customers at the parts counter and over the phone.
Identify and recommend the correct replacement parts for customer equipment.
Prepare parts quotes and process parts sales.
Order parts from manufacturers and outside vendors.
Receive, stock, organize, and maintain parts inventory.
Process returns, cores, warranties, and special-order parts.
Maintain accurate records within the dealership's business system.
Help maintain an organized and professional parts department.

Rental Department

Assist customers with equipment rental needs.
Prepare rental agreements and related paperwork.
Coordinate equipment reservations, pickups, and returns.
Review rental equipment condition with customers.
Help ensure rental equipment is ready and available as scheduled.
Coordinate with the service department when rental equipment requires maintenance or repairs.
Answer customer questions regarding equipment operation, availability, and rental policies.

Qualifications

Strong customer service and communication skills.
Mechanical aptitude or familiarity with construction, agricultural, forestry, landscaping, or similar equipment is preferred.
Previous experience in parts, service writing, equipment rental, automotive, heavy equipment, or a dealership environment is a plus.
Ability to read and understand parts diagrams and equipment information.
Strong computer and organizational skills.
Ability to manage multiple jobs, customers, technicians, and parts orders at the same time.
Detail-oriented with strong follow-through.
Comfortable communicating with technicians, customers, vendors, and management.
Willingness to learn manufacturer-specific equipment and parts systems.

What We're Looking For

This position is a good fit for someone who enjoys being the person others come to when they need something figured out. A large portion of the role involves supporting our service technicians—finding the right parts, getting accurate pricing, ordering what is needed, and helping make sure repairs do not get held up because of parts or communication issues.

We're looking for someone who takes ownership of their work, communicates well, stays organized, and understands the importance of keeping both customers and technicians informed. Pay is based on experience.

Pay: From $22.00 per hour
