Job Overview

We are seeking a proactive and organized Office Administrator to join our team! In this vital role, you will manage daily office operations, support administrative functions, and ensure smooth communication across departments. Your energetic approach will help foster an efficient work environment while providing exceptional support to staff and clients alike. Responsibilities

Maintain accurate records through data entry, filing, and updating spreadsheets using Microsoft Office and Google Workspace productivity software
Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings
Assist with bookkeeping activities using QuickBooks or similar accounting software to ensure accurate financial records
Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client communication efforts
Oversee office supplies inventory, order necessary materials, and ensure the office environment remains organized and welcoming
Perform clerical duties such as proofreading documents, word processing, and managing correspondence with attention to detail

Requirements

Proven experience in office management or administrative roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Excellent computer literacy with the ability to handle data entry, spreadsheets, and document proofreading effectively
Experience with multi-line phone systems, phone etiquette, and customer service best practices
Bilingual abilities are highly desirable to support diverse client interactions
Familiarity with QuickBooks or bookkeeping is preferred but not required
Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
Previous experience in front desk or medical/dental receptionist roles is a plus
