Full Job Description

Position Summary

Circus Juventas is seeking a friendly, organized, and customer-focused Receptionist to serve as the first point of contact for students, families, guests, donors, and community members. This position plays a key role in creating a welcoming environment while supporting daily administrative operations, customer service, and communication across the organization.

The ideal candidate is professional, detail-oriented, and passionate about providing exceptional service in a dynamic arts and youth development environment.

Essential ResponsibilitiesFront Desk & Customer Service

· Greet and assist students, families, visitors, volunteers, and staff with professionalism and enthusiasm.

· Answer and direct incoming phone calls, emails, and general inquiries.

· Provide accurate information regarding classes, programs, performances, events, and organizational policies.

· Maintain a clean, welcoming, and organized reception area.

· Monitor building entry and assist with visitor check-in procedures.

Administrative Support

· Manage daily administrative tasks, including filing, data entry, copying, scanning, and document preparation.

· Assist with scheduling appointments, meetings, and facility reservations.

· Maintain accurate participant and family records in organizational databases.

· Coordinate outgoing and incoming mail and package deliveries.

Communication & Coordination

· Serve as a communication liaison between families, instructors, and administrative staff.

· Assist with scheduling appointments, meetings, and facility reservations.

· Support the distribution of organizational communications and updates.

· Help respond to routine customer concerns and escalate issues when appropriate.

Event & Program Support

· Assist with special events, auditions, performances, camps, and community engagement activities.

· Support participant check-in and guest services during events.

· Provide general administrative support to departments as needed.

QualificationsRequired

· High school diploma or equivalent.

· Minimum one year of customer service, reception, administrative, or related experience.

· Strong verbal and written communication skills.

· Proficiency with Microsoft Office (Outlook, Word, Excel, Teams).

· Excellent organizational and time management skills.

· Ability to maintain confidentiality and handle sensitive information appropriately.

· Ability to work effectively with children, families, staff, and community members from diverse backgrounds.

Preferred

· Experience working in a nonprofit, educational, performing arts, recreation, or youth-focused organization.

· Experience with registration systems, databases, or CRM software.

· Bilingual or multilingual communication skills.

Physical Requirements

This position will include evening, weekend, and occasional daytime, and special event hours based on organizational needs.
