Job Overview

The Event Operations & Sales Coordinator supports the Event Coordinator and Executive Director in the planning, preparation, and execution of Bentleyville's events and daily operations. This role works closely with retail operations, e-commerce activities, volunteer coordination, and special event planning to ensure a seamless and exceptional experience for guests, volunteers, sponsors, and partners.

The ideal candidate is highly organized, detail-oriented, and adaptable, with the ability to manage multiple priorities in a fast-paced environment. This position plays a key role in supporting event logistics, retail and online sales operations, volunteer engagement, and the success of the event.

Essential Duties & Responsibilities

Assist the Event Coordinator and Executive Director with the planning, organization, and execution of Bentleyville events and daily operations.
Coordinate event logistics, including setup, breakdown, vendor communication, scheduling, and on-site support.
Support retail operations, including inventory management, merchandising, point-of-sale activities, and customer service.
Assist with e-commerce operations, including online order processing, fulfillment, shipping coordination, and customer inquiries.
Recruit, schedule, communicate with, and support volunteers to ensure a positive and productive volunteer experience.
Coordinate special events, sponsorship activities, guest experiences, and community engagement initiatives.
Maintain accurate records, databases, reports, and event documentation.
Serve as a liaison between staff, volunteers, vendors, sponsors, and community partners.
Monitor inventory levels and assist with ordering merchandise and operational supplies.
Support marketing and promotional efforts by assisting with event communications, social media content, and guest outreach.
Provide exceptional customer service and represent Bentleyville in a professional and positive manner.
Assist with problem-solving and operational needs during events to ensure smooth execution.
Perform administrative duties, including data entry, scheduling, filing, and correspondence.
Maintain a safe, organized, and welcoming environment for guests, volunteers, and staff.
Perform other duties as assigned to support Bentleyville's mission and operational goals.

Preferred Qualifications

Experience in event coordination, retail operations, hospitality, customer service, or related fields.
Strong organizational and time-management skills.
Excellent communication and interpersonal abilities.
Proficiency with Microsoft Office, Google Workspace, and point-of-sale systems.
Experience with e-commerce platforms and online order fulfillment is preferred.
Ability to work days, evenings, weekends, and holidays as required during the event season.
Ability to lift up to 25–50 pounds and work both indoors and outdoors in varying weather conditions.
Passion for community engagement and creating memorable guest experiences.

Pay: From $22.00 per hour
