INSTITUTE FOR INTEGRATIVE THERAPIES (IIT)

Patient Experience Coordinator

Full-Time · Monday–Friday · Hybrid (most Wednesdays work from home) · Eden Prairie, MN

About Us

The Institute for Integrative Therapies (IIT) is a psychedelic-informed mental health clinic and research center in Eden Prairie, Minnesota. Our mission is to transform society through the innovation of psychedelic therapies to cultivate wholeness, healing, and meaning. We provide ketamine infusions, Spravato (esketamine), ketamine-assisted psychotherapy (KAP), psychedelic integration, medication management, medical cannabis certification, and we partner with leading biotechnology companies to bring cutting-edge psychedelic clinical trials to the Midwest. Our patients come to us during some of the hardest chapters of their lives, and the experience they have from the very first phone call shapes their healing.

About the Role

You’ll be the heartbeat of our patient experience — the welcoming face of the clinic in person, and the friendly voice on our phones and email. In the clinic, you’ll greet and check in patients and process payments. Throughout the week — and from home on most Wednesdays — you’ll answer calls and emails, assist with scheduling and rescheduling, and support the IIT team with administration needs. One role, one person our patients come to know and trust.

Schedule

● Full time, Monday through Friday

● Arrive between 8:30 and 8:45 AM; day typically ends at 4:00 PM, occasionally by 5:00 PM if extra time is needed to wrap up a task

● Most Wednesdays are work-from-home days, unless you’re needed in person at IIT

What You’ll Do

● Welcome and check in patients with genuine warmth — you set the tone for their visit

● Give new patients a brief, welcoming tour when they arrive

● Review each day’s schedule in the morning

● Process patient payments at check-in and ensure correct CPT codes are selected for every appointment

● Manage IIT’s phone calls and email inbox: assisting people with scheduling, rescheduling, confirming appointments, onboarding new patients, and answering questions kindly and promptly

● Let the clinical team know when patients have arrived, and help patients get settled — including bringing their belongings to the treatment room

● Help the clinical team turn over treatment rooms between patients, including cleaning and sanitizing so each room is fresh and ready

● Run insurance eligibility reports weekly and proactively reach out to patients when plans need updating

● Coordinate with our physicians, registered nurses, therapists, and billing partner to keep the day running smoothly

● Monitor faxes and communication with other medical agencies, ensuring timely responses to fax requests

● Support both IIT’s mental health clinic and our clinical research team

Who You Are

● Warm, unflappable, and genuinely kind — patients arriving for treatment (or just finishing one) need a calm, friendly presence

● Organized, proactive, and detail-oriented: you anticipate what patients and the team need, and stay accurate with scheduling, payments, and new patient charts

● A confident and respectful communicator on the phone and in writing

● Comfortable with technology and able to learn our EHR and scheduling systems (experience with Valant or similar a plus, not required); comfortable with and able to synergize with a variety of AI tools

● Discreet and professional — you understand the importance of patient privacy and HIPAA

● Comfortable working in Google Workspace (Gmail, Calendar, Docs, Sheets)

● Experience in a medical, dental, or mental health front office is a plus; the right person matters more than the resume

● A believer in personal growth — for yourself and the people around you — and drawn to work that helps others heal and transform

● Open to and curious about psychedelic medicine; you don’t need prior expertise, but you’re comfortable supporting patients through this kind of care with respect and an open mind

Physical Requirements

● Able to sit and work at a computer for extended periods

● Able to move about the clinic throughout the day — standing, walking, bending, and reaching

● Able to lift and carry light items such as patient belongings and supplies (up to about 25 lbs)

● Comfortable performing light cleaning and sanitizing of treatment rooms between patients

Hours

● Hybrid schedule with most Wednesdays from home

● Consistent Monday–Friday daytime hours — no evenings, weekends, or holidays
