Full Job Description

**Must live in Mishawaka, IN or a nearby suburb.**

Exhale Sinus specializes in the treatment of Sinus, Nasal, TMJ, Headache, and Sleep disorders. Our team includes board-certified ENT physicians and advanced practice providers dedicated to delivering exceptional patient care.

We are seeking an experienced Medical Receptionist/Medical Assistant to join our growing ENT practice. This is a role that requires assisting with both front office and back office responsibilities. The ideal candidate is organized, dependable, detail-oriented, and enjoys working in a fast-paced medical environment while providing outstanding patient care.

Requirements

Minimum 2 years of medical receptionist experience required.
Previous medical assistant or clinical experience is preferred.
Must be able to work 8-hour shifts between 8:00 AM – 5:00 PM Monday–Thursday and 8:00 AM – 12:00 PM Fridays.

Responsibilities

Front Office

Greet patients and visitors with exceptional customer service.
Manage patient check-in and check-out.
Verify insurance eligibility and benefits.
Schedule appointments and answer incoming phone calls.
Collect co-pays and outstanding balances.
Review and update patient demographics, registration, and consent forms.
Assemble new patient packets and send appointment reminders.
Assist patients with insurance and billing questions.

Back Office

Enter and reconcile patient medications in the electronic medical record (EMR).
Obtain and track prior authorizations for medications, imaging, and specialty biologics.
Perform basic clinical support, including audio screenings and sleep study education.
Stock exam rooms and maintain clinical supplies.
Clean and prepare exam rooms between patients.
Turn over instruments and assist with surgery day preparation.
Fax office notes to referring providers and maintain documentation, including sleep study tracking.
Maintain accurate patient records using proper ICD-10 and CPT coding knowledge.

Qualifications

Excellent customer service and communication skills.
Strong multitasking and organizational abilities.
Comfortable working in both administrative and clinical settings.
Experience with EMR (AdvancedMD) systems.
Knowledge of medical terminology.
Familiarity with ICD-10 and CPT coding.
Strong computer skills.
Bilingual candidates are encouraged to apply.
