We are seeking a dynamic and detail-oriented Insurance Administrative Specialist to join our team! This vital role offers the opportunity to streamline office operations, support client communications, and ensure the smooth handling of insurance-related administrative tasks. Duties

Manage front desk responsibilities, greeting clients and visitors with professionalism and warmth
Operate multi-line phone systems to handle inquiries, direct calls efficiently, and provide exceptional customer support
Maintain accurate records through data entry, filing, and document proofreading to ensure confidentiality and compliance
Utilize Microsoft Office tools to prepare reports, correspondence, and insurance documentation with precision
Support office management tasks including calendar management, appointment scheduling, and organization of office supplies
Handle bookkeeping tasks using QuickBooks to process invoices, payments, and financial records accurately
Assist with client communication via phone and email, providing timely updates and resolving inquiries professionally

Requirements

Proven experience in office management or administrative roles within an insurance or related environment
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks
Excellent organizational skills with keen attention to detail and accuracy in data entry and proofreading
Exceptional phone etiquette with experience managing multi-line phone systems and client communication
Bilingual abilities are highly desirable to serve diverse client needs effectively
Ability to handle confidential information discreetly while maintaining professionalism at all times
Prior clerical experience including filing, calendar management, and document preparation is preferred
Demonstrated customer service skills with a positive attitude and proactive approach to problem-solving
