Job Overview

We are seeking a dynamic and organized Front Desk & Office Administrator to be the welcoming face and operational backbone of our office. This is a hands-on position for someone who enjoys working with people, staying organized, and keeping the day-to-day office running smoothly. You’ll be an important part of our team and often one of the first points of contact for our customers and vendors.

Responsibilities:

Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly.
Manage multi-line phone systems, directing calls accurately and professionally while taking detailed messages when necessary.
Perform data entry and maintain organized filing systems for confidential documents, ensuring accuracy and security.
Assist with office management tasks such as ordering supplies, coordinating maintenance requests, and supporting team members with administrative needs.
Utilize Microsoft Office Suite and Google Workspace tools for document creation, editing, and communication purposes.
Support bookkeeping activities using QuickBooks, including invoicing, expense tracking, and basic financial record keeping.
Uphold professional phone etiquette when interacting with clients or internal teams, ensuring clear and courteous communication at all times.
Handle confidential information discreetly while maintaining high standards of organizational skills and attention to detail.

Qualifications:

Degree in Business, Accounting, Communications, or a related field preferred
Proven office experience with strong clerical skills including filing, proofreading, and data entry.
Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace applications, and computer literacy in general.
Experience with QuickBooks is highly desirable.
Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment.
Strong customer service orientation with outstanding phone etiquette and communication skills.
Demonstrated ability to handle confidential information responsibly while maintaining professionalism.
Previous experience in office management or administrative roles preferred but not mandatory; training provided for the right candidate.
