Full-Time Onsite Multi-Entity Bookkeeping & Finance/Tax Administration

About the Role

We are seeking a detail-oriented, experienced Bookkeeper to manage day-to-day financial record-keeping across our group of affiliated companies (3–4 small businesses under common ownership). This is a full-time, onsite position for someone who is genuinely expert in QuickBooks and comfortable owning the books for multiple entities at once — from routine transaction entry through reconciliations, reporting, and tax-related administrative support. This is an internal role supporting our own affiliated companies; it does not involve outside client work.

Key Responsibilities

Maintain accurate, up-to-date financial records across our affiliated companies simultaneously, including accounts payable, accounts receivable, payroll support, and general ledger entries.
Perform full-cycle bookkeeping in QuickBooks (Online and Desktop): categorizing transactions, recording journal entries, and maintaining a clean, well-organized chart of accounts for each entity.
Reconcile bank, credit card, and merchant processor accounts monthly; investigate and resolve discrepancies promptly.
Prepare monthly, quarterly, and year-end financial statements (P&L, balance sheet, cash flow) for review by ownership and CPA handoff.
Process and track invoices, bills, and payments; monitor aging reports and follow up on outstanding receivables/payables.
Support payroll processing and ensure accurate recording of wages, withholdings, and employer tax liabilities.
Assist with sales tax filings, 1099 preparation, and other routine finance/tax administrative tasks across all entities.
Organize and maintain financial documentation and digital records to support tax preparation and outside audits.
Flag unusual account activity, bookkeeping irregularities.
Manage competing priorities and deadlines across multiple entities, keeping each set of books on its own reporting cadence.

QuickBooks & Technical Requirements

Expert-level proficiency in QuickBooks Online and QuickBooks Desktop — non-negotiable requirement.
QuickBooks ProAdvisor certification preferred; willingness to obtain/renew certification is expected.
Strong working knowledge of double-entry bookkeeping, GAAP fundamentals, and standard month-end/year-end close processes.
Comfortable working across multiple QuickBooks company files and switching context between entities daily.
Proficient with Microsoft Excel/Google Sheets (pivot tables, lookups, reconciliation templates).
Familiarity with payroll platforms (e.g., Gusto, ADP, QuickBooks Payroll) and payment processors (PayPal, Square, Stripe) a plus.
Experience with bill-pay and receipt-management tools (e.g., Bill.com, Expensify, Dext/Receipt Bank) a plus.

Qualifications

3–5 years of professional bookkeeping experience, ideally supporting multiple entities or companies at once.
Solid understanding of basic tax concepts relevant to small businesses (sales tax, 1099s, quarterly estimates) — this role supports tax administration, not tax preparation or advisory.
Exceptional accuracy and attention to detail; comfortable being the last line of defense on the numbers.
Strong organizational and time-management skills; able to juggle multiple entities and deadlines without dropping details.
Trustworthy and discreet with sensitive financial information across all companies.
Clear, professional written and verbal communication skills for working with ownership and leadership.
Self-directed and reliable, with sound judgment about when to escalate versus resolve independently.

Work Environment & Schedule

Full-time, onsite position at 5007 Industrial Road, Wall Township, NJ 07727.
Standard business hours, Monday–Friday, with occasional flexibility around monthly and year-end close deadlines.
Casual, low-key office atmosphere — small team supporting 3–4 affiliated companies owned by the same partners.

Compensation & Benefits

Salary: $60,000 per year.
Medical insurance provided (dental and vision not included).
